Job Title: Office Assistant (Healthcare)
Location: Houston TX 77048
Duration: 3 Months (with possibility of extension)
Shift: MondayFriday 8:00 AM 5:00 PM

Position Summary
The Office Assistant provides essential administrative and clerical support within a healthcare environment. This role supports departmental operations by performing routine secretarial duties assisting staff and ensuring smooth day-to-day office functions. The ideal candidate is professional organized detail-oriented and customer-service focused.
Responsibilities
Provide administrative and secretarial support to one or more non-executive staff members
Type and prepare reports letters memorandums and other correspondence
Answer phones route calls take messages and greet visitors in a professional manner
Open sort and distribute departmental mail
Schedule meetings appointments and events; maintain calendars and send reminders
Coordinate travel arrangements for conferences and off-site meetings as needed
Take meeting notes and transcribe them into emails documents or spreadsheets
Maintain an organized clean and efficient workspace
Monitor operate and maintain office equipment (computers printers copiers fax machines etc.)
Maintain and restock office supplies
Collaborate with management on projects and complete delegated tasks independently
Handle confidential and sensitive information with integrity and professionalism
Promote a safe environment for patients staff and visitors by adhering to all policies and procedures
Support department goals and participate in professional development and mandatory training
Serve as a mentor or resource to less experienced staff when appropriate
Deliver compassionate patient-centered service experiences
Perform additional duties as assigned
Required Skills & Qualifications
Strong written and verbal communication skills
Ability to use a personal computer and related software efficiently
Proficiency in Microsoft Office (Word Excel Outlook PowerPoint)
Excellent customer service and interpersonal skills
Strong organizational time-management and multitasking abilities
Problem-solving skills with attention to detail
Ability to handle confidential information with discretion
Ability to work effectively in a team-oriented environment
Ability to take and transcribe dictation preferred
