Job Summary
This position requires a dynamic flexible and highly skilled individual to assist in the administration of the daily activities and processes for both student enrollment and residency. This position will assist with administrative and clerical duties including knowledge of the functions and operations of the enrollment and residency and familiarity with the policies and procedures that govern the work. The position is many families first experience with the District so this position requires a warm and welcoming attitude timely responses and excellent communication skills.
PERFORMANCE RESPONSIBILITIES(include but are not limited to):
- Coordination of all District student enrollment. Responsibilities include:
- Process and maintain enrollment for all new to District students including the enrollment process for incoming Kindergarten students
- Thorough working knowledge of District SIS system and its enrollment software components
- Tracking via spreadsheet off all student enrollments and status of student enrollment
- Scanning and filing sensitive student information
- Shredding and appropriate disposal of any medical and/or residency documentation as required by policy or law
- Collaborate and assist families that need translation and language support through translation services
- Engage and collaborate with School Social Worker for families in need
- Report accurate and up to date data around enrollment for District leadership and/or School Committee
- Coordination of all residency processes within the District. These responsibilities include such tasks as:
- Maintain accurate and up to date record of all residency concerns
- Update student records to reflect any address changes
- Support families during the residency process by answering questions related to the residency policy correspond to parents/guardians/care givers
- Collect and maintain all appropriate residency forms and up to date documentation
- Prepare communication for the residency recertification process for all incoming 6th and 9th grade students
- Collect track update and maintain documentation for recertification of residency
- Responsible for data collection for the Student Attending Children DESE report and District leadership including preparation of correspondence for all private parochial and charter schools
- Collect and file MA Transfer Cards for students leaving the district
- Adheres to all stated timelines and deadlines as appropriate
- Communicates with parents tactfully and with sensitivity recognizes and maintainsconfidentiality in job-related matters and creates a positive and welcoming culture in person or via verbal or written communication
- General clerical work such as filing phone calls stakeholder correspondence
- Perform other duties as assigned by Assistant Superintendent of Schools
Qualifications:
- High School Diploma required; Bachelors Degree preferred
- Proven ability to work in a positive respectful and friendly manner with many different stakeholders
- Demonstrated aptitude or competence for assigned responsibilities
- Outstanding written and verbal communication skills
- Well-organized and detail-oriented
- Exceptional interpersonal and presentation skills
- Working knowledge of relevant technologies:internet and email systems; word processing presentation and spreadsheet software; and Google educational software
- Willingness to learn Student Information System and related enrollment systems
- Employment-based on successful completion of CORI and fingerprinting background
- Such alternatives to the above qualifications as the school department may find appropriate and acceptable
Work Day: Monday - Friday 8-4; this is a 12 month position
Compensation:Range for this position is $60000-$75000
