Position Summary
Performs a variety of clerical support services to assist the efficient operation of the Administration Building and the various department within Central Office while maintaining confidentiality.
Duties and Responsibilities

- Greets employees and visitors to the office; uses proper business etiquette to answer telephone calls and emails; responds to customer needs and provides appropriate responses and referrals; takes messages and relays information as needed.
- Processes and distributes incoming mail and prepares outgoing mail.
- Monitors fax machine to insure proper maintenance and inventory of toners
- Notarize teaching certificates residency verifications and other documents as necessary.
- Report 911 emergency calls to appropriate administrators.
- Assist and provide instructors and students with Community Education (CE) class information.
- Schedule building use for CE classes in SchoolDude.
- Process community and student registration through Eleyo.
- Create brochure and flyers for CE classes; input class data for the community education classes and for brochure through Eleyo; Assist with inputting class data and registrations for CVS Summer programs.
- Set-up and maintain Athletic Camps/Clinics/Leagues.
- Set up of Pool Parties.
- Coordinate Dance Team scheduled payments and venue needs
- Process Purchase Orders to pay Community Ed coaches assistants and instructors.
- Order Community Ed supplies.
- Assist with annual CTE Survey calls.
- Assist the Registration Department answering phone calls during peak registration times.
- Issuance and changes to staff card access and ID badges.
- Assist Central Office Departments with various clerical functions.
- Assist Community Relations with correspondence materials and mailings related to the Chippewa Valley Educational Foundation if needed.
- Provide assistance in updating the district website as well as sending out School Messenger communications to parents.
- Assists with creating new slides updating events and school calendars for CVC TV station.
- Operate office machines such as photocopiers scanners computers printers calculators facsimile machines voicemail systems and telephones.
- Communicate with customers employees students and other individuals to answer questions disseminate or explain information.

Education:
This position requires high school diploma or equivalent.
Experience:
- No previous clerical experience required.
- One year of related experience providing clerical support in an office setting preferred.
Knowledge:
- Knowledge of basic math required.
- Knowledge of principles and processes for providing customer service required.
- Knowledge of administrative and clerical procedures and systems such as word processing spreadsheets filing and other office procedures required.
- Knowledge of the structure and content of the English language including the meaning and spelling of words rules of composition and grammar required.
Abilities:
- Ability to read and interpret district policies and guidelines required.
- Ability to write routine reports and correspondence required.
- Ability to interpret a variety of instructions furnished in written oral diagram or schedule form required.
- Ability and willingness to learn different software systems required.
- Ability to multi-task meet deadlines and work in a fast-paced work environment required.
- Ability and willingness to work cooperatively with teachers community students and staff required.
- Ability to read write and communicate effectively in English to perform essential job duties including but not limited to understanding and following safety instructions responding appropriately to emergency situations completing documentation and interacting with English-speaking staff students community and supervisors required.
