The Contract & Pricing Administrator is a critical operational role responsible for the end-to-end lifecycle of Bulk Microbulk and Cylinder gas contracts. This position acts as the central hub between Sales Field Service Finance and Customer Service. The successful candidate will manage a regional price portfolio ensuring data integrity across SAP Salesforce and PROS while maintaining high standards for customer documentation and revenue protection.
1. Contract Lifecycle & Account Management
New Customer Onboarding: Execute full setup for new Bulk and Microbulk installations including creating Ship To numbers in SAP ensuring correct branch assignments and verifying payment terms.
Documentation & Compliance: Ensure all Product Supply Agreements (PSA) and Riders are fully executed. Maintain digital and physical contract files including Capital Appropriation Requests (CAR) and First Fill letters.
Systems Integration: Update and manage data across Salesforce (closing opportunities) SAP (billing plans) and PROS (agreement terms).
Cylinder Agreements: Coordinate execution and filing for cylinder-specific agreements ensuring pricing teams are notified for REGL Sales Deal setup.
2. Pricing Billing & Revenue Integrity
Price Maintenance: Manage regional price maintenance for over $8 Million/month in sales.
Adjustments & Increases: Facilitate annual price reviews. Prepare mail-merge notifications for customers and update API/Facility Fee changes in PROS.
Complex Billing: Create and update ZMV/Billing Plans in SAP for new installs upgrades and tank replacements. Calculate indices per agreement terms and create tiered pricing entries.
Financial Support: Assist Collections with A/R needs and process approved credit/debit memo requests for tank removals or spot loads.
3. Operational Coordination & Field Service Support
Asset Management: Coordinate tank upgrades and removals ensuring old billing plans are terminated and field service costs (crane/freight) are properly billed via debit memos.
Cross-Functional Liaison: Act as the primary point of contact for Field Service Technicians to tie tank codes (TC) to ship-to (SH) locations.
Data Tracking: Maintain master tracking sheets on Google Drive for lost customers new signings and tank removals.
4. Reporting & Analytics
Monthly Reporting: Generate and format monthly sales reports (D2G2/CBS versions) using Business Warehouse (BW).
Custom Analytics: Provide ad-hoc volume and sales reports for the VP of Bulk and Sales Specialists.
Indices & Scales: Monitor U.S. Diesel Fuel averages monthly to determine and upload updated fuel surcharge (ZFGS) rates.
Required Qualifications:
High School Diploma or equivalent
5 years of experience in contract administration billing or sales operations
ERP/CRM: Proven hands-on experience with SAP (specifically SD/Billing modules)
High proficiency in Microsoft Excel (Pivot Tables Mail Merges) and Google Workspace
Demonstrated experience managing high-volume accounts or revenue streams
Preferred Qualifications:
Bachelors degree in Business Administration Finance Accounting or a related field preferred
Salesforce is highly preferred
Experience with PROS or similar price management tools
Previous oversight of multi-million dollar regional portfolios is a plus
Physical Requirements & Work Environment:
Standard Office Environment: This is a sedentary role primarily performed within a climate-controlled office or home-office setting.
Visual Demands: Extensive time spent reading computer monitors analyzing spreadsheets and verifying small-print data in SAP and PROS.
Manual Dexterity: Frequent use of a keyboard and mouse for data entry; occasional use of office equipment such as scanners and printers for physical contract filing.
Communication: Must be able to communicate clearly via telephone and email with internal stakeholders and external clients.
Organizational Stamina: Ability to maintain focus and accuracy during high-volume periods (e.g. the 5th of the month reporting deadlines or annual price increase cycles).
