Primary Purpose:

Provide clerical and intake support for Early Childhood Intervention (ECI) transitions and Child Find activities to ensure timely identification referral evaluation and enrollment of eligible early childhood students. Support compliance with state and federal timelines through accurate intake processing documentation management scheduling coordination and family communication. Serve as a central point of contact for early childhood referrals and collaborate closely with the Director of Special Education.

Qualifications:

Education and Certification

  • High school diploma or equivalent

Experience

  • Two (2) years of clerical and data entry experience
  • Experience in special education early childhood programs or student services (preferred)

Knowledge and Skills

  • Knowledge of Child Find and early childhood special education processes (preferred)
  • Ability to communicate effectively and compassionately with parents campus staff and community agencies
  • Strong organizational and time-management skills with attention to timelines and compliance
  • Proficient in Microsoft Office and Google Workspace
  • Ability to maintain confidentiality and exercise discretion with sensitive student information
  • Ability to manage multiple referrals and priorities in a fast-paced environment

Key Responsibilities:

ECI and Child Find Intake & Transitions

  • Process intake for all Child Find and community referrals including receipt review and documentation of required information.
  • Coordinate and track all ECI-to-ECSE transitions to ensure timely evaluation and enrollment.
  • Serve as the primary intake contact for early childhood referrals from parents campuses and community agencies.
  • Maintain Child Find logs timelines and tracking systems in accordance with district procedures and legal requirements.

Evaluation and Enrollment Support

  • Provide scheduling support for initial evaluations including coordination with evaluators and families.
  • Assist with ECSE enrollment processes following eligibility determinations.
  • Support timely completion of intake packets and required documentation for evaluations.

Records and Documentation Management

  • Manage all early childhood intake documents ensuring accuracy completeness and proper filing.
  • Upload organize and maintain records in district data systems.
  • Ensure documentation aligns with state and federal compliance timelines.

Communication and Collaboration

  • Conduct parent follow-ups to obtain missing information and confirm appointments.
  • Collaborate with the Director of Special Education to support workflow and compliance.
  • Document all contacts and communications with parents and staff as required.

Additional Responsibilities:

  • Adhere to all district policies procedures and expectations as outlined in the employee handbook and administrative regulations.
  • Follow district safety protocols and emergency procedures.
  • Participate in professional development faculty/department meetings and special events as assigned.
  • Perform additional duties as assigned to support the mission and goals of the campus and district.
