JOB TITLE: Receptionist (Part-Time)

DEPARTMENT: Facilities Design & Capital Improvements

REPORTS TO: Senior Manager Facilities Design & Capital Improvement Operations & Administration

SALARY: $25 per hour

CLASSIFICATION: Non-Exempt

DATE: February 2026

POSITION OVERVIEW

The Receptionist manages the reception area and provides is expected to interact positively with all telephone callers visitors colleagues and other building employees coming to the reception area.

This is a part-time position and is not eligible for employer-sponsored benefits except as required by applicable federal New York State or New York City law.

Work Schedule: MondayThursday 8:30am3:00pm including a 30-minute unpaid meal break in compliance with New York State labor law.

ESSENTIAL FUNCTIONS

  • Staff Office Access: Ensures all staff scan their badges and coordinates with Security to give clearance to employees with forgotten or lost badges.
  • Front Desk Phone Management: Answer all calls and general questions with a warm and positive attitude and direct all incoming calls to appropriate staff.
  • Visitor Access: Assists with notifying building security at 200 Liberty of expected guests; enters guests names and meeting times in building visitor tracking system.
  • Greeting all visitors to the organization and announce their arrival to the intended party or direct the visitor to the appropriate conference room.
  • Mail Operations: Receives all mail from USPS personnel sorts accordingly.
  • For all other incoming deliveries the receptionist keeps packages and mail secured in the mail room until they can be checked by Security and K-9. Once packages and mail are cleared by Security notifies the intended recipient for pick up.
  • Notify staff members of any other deliveries and accept deliveries on their behalf as needed.
  • Handles all requests for sending packages via messenger or UPS/FEDEX. Contracts the messenger service to pick up packages. Ensure that outgoing UPS/FEDEX packages are picked up by the carrier.

OTHER RESPONSIBILITIES

  • Ensures professional appearance of reception area.
  • Assists Office Workplace Coordinator with scheduling access in the office for Brookfield-ABM Janitorial Staff Building Engineer or approved Contractors as needed.

QUALIFICATIONS/SKILLS REQUIREMENT

  • Energetic individual with a proactive customer-service attitude.
  • Demonstrate an ability to work and think independently and possess the ability to interact well with a wide range of people of all levels within and outside the organization
  • Ability to field calls and communicate effectively with individuals from diverse backgrounds and emotional states maintaining professionalism expressing empathy and responding calmly in all interactions.
  • Motivated organized and with high attention to detail
  • Ability to multi-task
  • Proficiency with MS Office is required

VOLUNTEER REQUIREMENT

  • Participates in the Annual 5K Fundraiser and September 11thCommemoration as assigned.
  • Assists with other special projects and events in support of all 9/11 Memorial and Museum as assigned.
