Internal Tools & Automation Manager

At Odisei Music were building the future of wind instruments. But we cant do it while drowning in repetitive work manual processes and tool confusion.

Thats where you come in.

Were looking for someone to own our internal tools and workflows automate everything that slows us down and help the whole team move faster with fewer headaches.

This is a cross-functional role where youll work directly with the CTO marketing support and ops teams. From improving our stock workflows in to supporting our support team with smarter automations in Klaviyo youll be the go-to builder for internal efficiency.

Were not looking for someone to just fix problems. We want someone who spots opportunities prototypes fast and uses automation and AI to boost team impact.

Tasks

Internal Tools & Workflows

Youll be the point person for all things internal tools making sure theyre well set up connected and actually help us do our jobs better.

• Manage and optimize our setup (CRM operations stock & inventory logistics)
• Own and improve automation flows using n8n and other low-code tools
• Keep our internal systems clean consistent and aligned with how we work
• Help team members configure their own workflows and become more autonomous

AI-Enabled Efficiency

Youll bring an AI-first mindset to how we work integrating tools like Gemini ChatGPT or custom agents into everyday workflows.

• Help teams augment their work with AI (e.g. email triage documentation reporting prototyping...)
• Prototype internal AI agents to speed up repetitive tasks
• Act as an internal AI coach to help the team level up

Support & Customer Operations

Youll collaborate with our Support and Marketing teams to improve customer-facing workflows.

• Configure AI support agents & flows using Klaviyo
• Automate common support tasks & tracking using workflows and scripts
• Ensure smooth cross-tool workflows (e.g. Shopify CRM Klaviyo)

Team Productivity & Enablement

Youll help the whole team move faster by enabling better self-serve tools reducing dependencies and making sure things dont get stuck.

• Help unblock teammates when tech/tooling questions pop up
• Standardize documentation & onboarding around internal systems
• Proactively flag bottlenecks and suggest better ways to do things

Youre not here to fix things when they break: youre here to build tools and workflows so things just work.

Requirements

Tools Youll Work With

• (core system for CRM ops stock)
• n8n (automation workflows)
• Klaviyo (marketing/support automation)
• Google Workspace (Docs Sheets Apps Script)
• Shopify PostHog and WooCommerce (basic integrations)
• Bonus if youve dabbled with: AI tools (ChatGPT Claude etc.) scripting (JS/Python)
