Job Title: Senior Administrative Assistant

Rate: CA$50/hr to CA$55/hr
Role Summary
We are hiring for a Senior Administrative Assistant role where the selected candidate will provide high-level administrative support to a Senior Director and their leadership team within a building design organization. This role plays a critical part in enabling smooth leadership operations by managing complex coordination supporting decision-making workflows and ensuring day-to-day administrative excellence in a fast-paced distributed environment.
Key Responsibilities

Support a Senior Director and leadership team by managing complex calendars and resolving scheduling conflicts across multiple stakeholders.

Partner with leadership to prepare meeting agendas materials track action items and follow through on deliverables.

Coordinate domestic and international business travel including itinerary planning expense tracking and timely expense report submissions.

Plan and support virtual and in-person meetings and events handling logistics such as venues materials catering and activities.

Maintain and manage team communication channels including email aliases Slack or Microsoft Teams spaces and access permissions.

Update and manage SharePoint or Wiki pages to support collaboration and information sharing.

Manage departmental budgets expenses vendor contracts invoices and payment timelines.

Work with staffing and outsourcing teams to support contingent workforce requests contracts and compliance requirements.

Handle sensitive and confidential information related to leaders employees and operations with professionalism and discretion.

Collaborate with other administrative and executive assistants to support leadership alignment and organization-wide meetings.
Must-Have Skills
-
5 to 7 years of experience supporting senior leaders within large fast-paced organizations.

Strong time management organizational and multitasking skills.

Proven ability to work under pressure and consistently meet deadlines.

Excellent written verbal and interpersonal communication skills.

Hands-on experience with Microsoft Office Suite and collaboration tools including Slack Microsoft Teams and SharePoint.

High comfort level in using and adopting AI-powered tools and new technologies.

Ability to manage sensitive and confidential information with discretion and integrity.

Flexibility to adapt to changing priorities processes and work schedules.
-
Willingness to travel locally or internationally when required.
Nice-to-Have Skills
- Experience supporting leadership teams in multinational or globally distributed environments.

Exposure to departmental budget management and vendor coordination.

Experience working with contingent workforce or staffing processes.
