Job Summary

Reports to:Coordinator of Social Services

Wage/Hour Status:Nonexempt

Compensation Plan:Clerical/Paraprofessional

Pay Grade: 04

Minimum Salary:$34408

Duty Days: 230 days per year

PRIMARY PURPOSE:

Under the general supervision of the Social Work Coordinator organizes and manages departmental activities of the Counseling and Social Work Department and provides clerical services and Spanish language interpretation for the department other staff members and district parents and students.

QUALIFICATIONS:
Education/Certification:

  • High school diploma or GED
  • Some college or business school preferred

Special Knowledge/Skills:

  • Ability to use personal computer
  • Proficient in using personal computer and software (Microsoft Office applications) to develop spreadsheets databases and word processing
  • Proficient skills in word processing spreadsheets databases google platform and file maintenance
  • Ability to meet established deadlines
  • Ability to handle a variety of tasks simultaneously
  • Ability to be self-directed addressing responsibilities without waiting for instruction
  • Professional demeanor and positive public relations skills excellent organizational communication and interpersonal skills
  • Effective written and verbal communication and interpersonal skills
  • Basic math and bookkeeping skills
  • Ability to interpret verbal Spanish language for staff families and students

Experience:
Three years secretarial experience preferably in a public education or similar work environment

MAJOR RESPONSIBILITIES AND DUTIES:

  • Maintains confidentiality of all information
  • Compiles pertinent data as needed when preparing case files for the department
  • Maintains physical and electronic files to include students who are displaced and in foster care
  • Interfaces with community organizations and agencies
  • Manages budget and records for Title I and Title IV funds
  • Assists with the preparation of purchase orders and payment authorizations
  • Manage incoming communication from parents campus staff and others (example: by answering telephone when calls come in responding to emails etc.)
  • Assists with Counseling and Social Work Department staff developments trainings and meetings
  • Supports all Counseling and Social Work activities and staff members
  • Answers incoming calls takes reliable messages and routes to appropriate Counseling and Social Work Department staff
  • Maintains a schedule of appointments and makes travel arrangements for Counseling and Social Work Department staff
  • Receives sorts and distributes mail and other documents to Counseling and Social Work Staff
  • Other duties as assigned

Frequent district-wide travel; occasional prolonged and irregular hours Frequent standing stooping bending kneeling pushing and pulling Occasional lifting up to 50 pounds

Ability to communicate effectively (verbal and written); interprets policy procedures and data; coordinates district functions; maintains emotional control under stress
