Job Summary:
- The Billing Accountant is responsible for supporting in overseeing and executing all billing activities related to reimbursement-based contracts and grants for the organization.
- This role ensures timely accurate and compliant billing in accordance with contract terms grant requirements and applicable regulations.
- Reporting to the Accounting Manager the Billing Accountant works closely with program finance and grants staff to support revenue recognition cash flow and audit readiness. Watch this brief video that provides information about this role and working at ETS.

Accounting Functions Billing & Revenue Management
- Prepare review and submit accurate and timely billings for reimbursement contracts and grants
- Ensure billings comply with contract terms grant agreements and funder requirements
- Track billable expenses and revenues by funding source and program
- Maintain detailed billing schedules and supporting documentation
- Monitor billing deadlines and submission requirements
Grants & Contract Compliance
- Interpret grant and contract terms related to allowable costs billing frequency and documentation
- Ensure expenses billed are allowable allocable and properly supported
- Reconcile billed amounts to the general ledger and grant tracking schedules
- Support grant closeouts amendments and renewals from a billing perspective
Reconciliations & Reporting
- Reconcile accounts receivable related to grants and contracts
- Track collections and follow up on outstanding receivables Assist with monthly and year-end revenue reconciliations
- Prepare billing-related reports for management funders and auditors Audit & Internal Controls
- Maintain organized billing files to support audits monitoring visits and funder reviews
- Assist with preparation of audit schedules related to grants and contracts Adhere to internal controls and segregation of duties within the finance function
- Identify process improvements to enhance billing accuracy and efficiency Collaboration & Communication Coordinate with program staff to validate expenses and service data
- Communicate with funders regarding billing questions or discrepancies
- Provide guidance to internal stakeholders on billing requirements and timelines

What you bring to this role Qualifications:
Education and/or Relevant and Lived Experience (if applicable):
- Associates degree in Accounting Finance or Business
- 3 or more years of professional accounting or financial management experience preferably in a nonprofit environment
- Experience with reimbursement-based contracts and/or grant billing
- Strong understanding of general ledger accounting and accounts receivable
- Proficiency with accounting systems and Excel o High attention to detail and strong organizational skills
Preferred o Experience with government grants (federal state or local)
- Familiarity with Uniform Guidance (2 CFR 200) o Experience working with nonprofit accounting software
- Prior audit support experience o Knowledge Skills and Abilities o Strong analytical and problem-solving skills
- Ability to manage multiple deadlines and priorities o Clear written and verbal communication skills
- Ability to work independently while collaborating across departments
- Commitment to accuracy compliance and continuous improvement
Knowledge and Skills:
- Have an understanding of racial justice and social equity and a commitment to helping create an equitable environment for all ETS clients and patients as well as fellow staff.
- Ability to establish and maintain effective working relationships with clients patients and staff from a wide variety of ethnic socioeconomic and cultural backgrounds.
- Strong interpersonal skills and verbal/ written communication skills.
- Excellent organizational skills and ability to prioritize workload work independently and complete tasks timely and efficiently.
- Proficiency with Microsoft Office specifically a high level of proficiency in Excel o Good practical experience with financial accounting and statistical software o Experienced in MIP Fund Accounting software
- Good knowledge of MS Excel including advanced tools and formulas complex tables and charts o Excellent analytical and numeracy skills
- Dependable able to work under pressure receptive to change willingness to learn cooperative approach to problem solving.
- Flexible team player with excellent attention to detail. o Ability to maintain confidentiality and use discretion when handling highly sensitive information.
- Ability to set boundaries resolve conflict and de-escalate issues.
- Computer literate with basic knowledge of Microsoft Office Suite as well as a high level of initiative in keeping current with technological change.
