Your Mission
As Facility & Purchasing Officer you are responsible for the daily work related to facilities mobility and purchasing. Meaning you will be responsible for stock- and vehicle management as well as the placement correct delivery check of (inter)national orders which are managed by the facility- and procurement team.
Further you will give admin support to the facility and mobility coordinators.
You will do so in compliance with prescribed processes and tools to ensure that we meet the needs of the organization and its employees in a safe and cost-efficient way.
Your tasks
The responsibilities of the Facility & Purchasing Officer will include but are not limited to the following:
Order Management :
- Youll track incoming orders manage stock levels and place orders with national and international suppliers.
- Youll coordinate the dispatch and delivery of materials to our different stations/offices
- Youll verify and approve third-party invoices and resolve any discrepancies.
- Additionally youll handle daily follow-ups on order-related complaints keeping everything running seamlessly.
Vehicle management:
- Youll manage the operational vehicles (maintenance insurance compliancy repairs ) and schedule timeslots with maintenance workshops inspection station and tire center etc
- Youll also organize external transport services for vehicles.
Administrative support to the Procurement and Facility team:
- Youll monitor daily the contract execution
- Youll flag recurring deviations to Facility Coordinators.
- Youll provide support to Facility/Mobility Coordinators and the other Facility & Purchasing Officers when required.

- You are well organized and a solution-oriented thinker with an eye for detail and strong affinity with required quality standards
- You are a fast learner able to work autonomously and to prioritize in a dynamic environment
- You have strong communication skills both written and verbal and are fluent in Dutch/French with a good knowledge of the other language (NL/FR) and English.
- You enjoy being on the road. You will need to travel to different sites when necessary.
- You have 5 years of experience in a general administrative or operational support function and have excellent open office skills.
- Bonus: experience in facility management a safety environment budget/invoicing purchasing or contract management is a plus.
