The Payroll Administrator is responsible for the accurate and timely processing of payroll payments for the organization while ensuring compliance with federal state and local regulations. This role works closely with Human Resources Accounting and Treasury to manage employee pay delivery maintain payroll records resolve payroll discrepancies and provide excellent customer service to employees. Concentra is a multistate organization with approximately 14000 employees in 47 states and District of Columbia. This position requires high levels of detail analytics and experience in payroll systems banking processing and confidential data handling.
The position is located in office at our corporate office in Addison TX.
Responsibilities
- Payroll Payments Processing:
- Responsible for finalizing the payroll workflows to process biweekly payroll payments via direct deposit or live checks in accordance with the company payroll schedule through ACH file or check processing. There are currently 23 unique FEINs and payroll workflows. Note: The number of payroll workflows will depend on the business needs of the company.
- Process daily payroll payments via direct deposit or live check in accordance with state wage laws through ACH file or check processing.
- Audit off-cycle payment requests for accuracy reaching out to payroll processor for adjustments as needed prior to processing payment.
- Balance payroll registers to funding reports prior to release.
- Verify employee banking information as needed by handling sensitive and confidential information.
- Reissue or void payroll checks and direct deposits as needed.
- Track and research returned or rejected deposits stop payments and reissue payroll funds as needed.
- Banking Management:
- Review positive pay files and resolve check exceptions.
- Monitor bank confirmations and reports.
- Maintain documentation for audit and compliance purposes.
- Controls & Compliance:
- Follow SOX/internal control requirements related to payroll funding and disbursements.
- Ensure segregation of duties between payroll processing and banking release.
- Analyze various system generated reports to ensure accuracy timeliness consistency compliance and mitigation of errors.
- Maintain confidentiality of employee banking data.
- Support internal and external audits related to payroll payments.
- Employee & Departmental Support:
- Research and respond to employee inquiries regarding pay delivery missing deposits and check issues.
- Communicate banking cutoff times and holiday payroll schedules.
- Research and provide payment confirmations as needed.
- Support department during peak periods such as vacation holiday and year-end support.
- Assist with testing and validation of system upgrades acquisitions and integrations especially pertaining to bank testing areas.
- Reporting & Documentation:
- Run payroll payment and trending reports as well as other reports that may be requested.
- Outreach and tracking for outstanding checks and unreconciled items.
- Maintain payment logs and payment schedules.
- Support month-end and quarter-end close activities.
Qualifications
- Education Level: Bachelors Degree Major: Accounting Finance or Business Administration
- Education Details:
- Bachelors degree from an accredited college or university or equivalent education and experience
- In lieu of higher education the ratio is 1:1 meaning one year of college equals one year of work experience and vice-versa.
- Certifications and/or Licenses:
- FPC or CPP certification preferred but not required.
- Customarily has at least three years of payroll experience preferably with knowledge and understanding of payroll ACH processing.
- Experience with payroll regulations including multi-state payroll is preferred.

- Experience with Oracle and UKG ProWorkforce Management as well as ACH processing.
- Excellent attention to detail communication organization problem-solving and time-management skills. This position requires the ability to meet strict payroll deadlines.
- Proficiency in Excel skills such as Vlookup Xlookup and PivotTables.
