Job Summary

The Contract Management team serves as the strategic backbone of our sales cycle dedicated to streamlining the end-to-end contracting process while balancing commercial agility with organizational risk management.

The RFx Expert role is pivotal focusing on defining maintaining and measuring the end-to-end RFx process and framework while driving Loopio tool adoption and supporting the broader goals of the Contract Management team. As a trusted advisor you will play a crucial role in ensuring alignment between customer needs and EcoVadis solutions particularly through enabling Account Executives (AEs) and other Sales roles to create compelling tailored responses to tenders and proposals. Additionally you will optimize Loopio and leverage AI-driven workflows to streamline RFx operations and improve collaboration across teams. 

The successful candidate will be a strategic thinker with a strong understanding of RFx best practices excellent organizational skills and a keen interest in leveraging Generative AI and data to enhance proposal management and performance

Key Responsibilities

RFx Strategy and Performance

  • Redefine the end-to-end RFx process and framework to maximize efficiency evaluate and implement AI-assisted drafting tools to increase response velocity without sacrificing quality.
  • Establish and manage a system to measure RFx performance (e.g. response time content utilization win rate) and provide regular reporting to key stakeholders.
  • Maintain the documented RFx process collaborating with all key stakeholders across Sales Account Management Subject Matter Experts (SMEs) and cross-functional teams to ensure consistent adherence and high-quality responses within defined deadlines.
  • Establish a communication plan to keep Sales and relevant internal stakeholders up to date on the sales success from tenders and proposals.

Sales Support and Content Quality

  • Provide direct support to the Sales team to ensure the quality of answers in RFx responses.
  • Support the Sales team by answering complex questions and coordinating/contacting Subject Matter Experts (SMEs) to develop accurate high-quality responses.
  • Leverage expertise to craft clear compelling content that showcases EcoVadis solutions value.
  • Enable relevant roles on updates to the RFx process and best practices.

 

Loopio and Tool Administration

  • Serve as the primary business owner and ensure the continuous maintenance of the Loopio platform ensuring the database is up-to-date and user-friendly.
  • Own the relationship with the Loopio Account Manager to ensure platform alignment with business strategy and maximum value realization.
  • Train and support frontline teams in using Loopio effectively to improve the efficiency and consistency of RFx responses.
  • Continuously optimize Loopio workflows to enhance collaboration and reduce response times.

Knowledge Management

  • Develop and maintain a centralized knowledge base of standard RFx content aligning with EcoVadis evolving solution suite and sustainability trends.
  • Coordinate designated cross-functional Subject Matter Experts (SMEs) to ensure RFx content is updated.
  • Manage the continual governance of RFx content by ensuring that other BUs maintain dedicated SMEs for RFx content support by monitoring the inflow of new content from ongoing RFx responses in Loopio and by maintaining a process through which such content is systematically added to the Loopio library.
  • Coordinate with the Enablement stakeholders the maintenance of the RFx content available.

Qualifications :

  • Experience working closely with sales account management or proposal teams in a SaaS environment.
  • Proven experience in RFx process management and working with tools like Loopio or similar platforms.
  • Excellent project management skills with the ability to juggle multiple RFx requests and deadlines.
  • Strong written communication skills particularly for crafting compelling proposals and questionnaires.
  • Analytical and detail-oriented with the ability to identify and address gaps in RFx responses quickly.
  • Knowledge of sustainability topics including GHG emissions DE&I regulatory trends and ESG frameworks is a significant advantage.
  • Adaptability and enthusiasm for working in a fast-paced dynamic field.
  • Bachelors degree or higher; additional languages are a plus.
