We are seeking a highly organized detail-oriented Records Management Specialist to join our team. The successful candidate will be responsible for the efficient administration classification storage retrieval retention and disposition of organizational records and information. This role ensures compliance with federal state and industry recordkeeping standards and supports business operations through effective records lifecycle management.
The Records Management Specialist will work cross-functionally with departments to implement and maintain robust records management programs including electronic and physical records.
Key Responsibilities:
Develop implement and monitor records management policies procedures and best practices in accordance with relevant laws regulations and standards (e.g. FOIA HIPAA GDPR where applicable ISO 15489).
Serve as the subject-matter expert on records lifecycle management across all formats (paper digital email databases).
Conduct records inventories and analyze records retention requirements.
Classify index store and retrieve records to facilitate user access and ensure preservation integrity.
Oversee secure and compliant disposition of records including destruction and archival.
Provide training and guidance to staff on records management processes and compliance requirements.
Collaborate with IT to support electronic document management systems (EDMS) workflows and data governance initiatives.
Conduct audits risk assessments and quality control checks to ensure adherence to records management standards.
Prepare reports and documentation for internal and external audits.
Support litigation readiness e-discovery requests and regulatory compliance matters.
Required Qualifications:
Bachelors degree in Records Management Library Science Information Management Business Administration or a related field.
3 years of practical records management experience; preference for government healthcare legal or large enterprise environment experience.
Knowledge of records lifecycle principles retention schedules classifications indexing and metadata standards.
Familiarity with records management software and content management systems.
Strong analytical problem-solving and organizational skills.
Excellent written and verbal communication skills.
Ability to handle sensitive information with discretion and confidentiality.
Preferred Qualifications:
Certified Records Manager (CRM) Information Governance Professional (IGP) or equivalent professional certification.
Experience with electronic records systems (e.g. SharePoint Laserfiche OpenText).
Experience with regulatory compliance frameworks (e.g. SOX HIPAA GDPR readiness).
Project management experience.
Compensation:
Annual Salary: $55000 $85000 USD commensurate with experience and qualifications
