JOB TITLE:Clerk - Special Education Management System (SEMS)
REPORTS TO:Compliance Coordinators of Special Services
WAGE/HOUR STATUS:Nonexempt
PAY GRADE:Para 5
PRIMARY PURPOSE:
The Special Education Management System (SEMS) Clerk provides clerical support to the special services department regarding data compliance and maintains data in accordance with the current special education student management system.

QUALIFICATIONS:
Required:
- High School Graduate or GED
Preferred:
- Prior job-related experience with increasing responsibility
- Two or more years of experience with public education and/or special education
SPECIAL KNOWLEDGE/SKILLS:
- Ability to communicate effectively in both written and oral forms with all levels of organization both internal and external
- Strong organizational and people skills
- Proficiency in use of computer and software to develop memos databases and spreadsheets
- Ability to manage and impart confidential information and student records
- Skills in assessing and prioritizing multiple tasks projects and demands
- Excellent organizational and presentation skill
MAJOR RESPONSIBILITIES AND DUTIES:
- Supports and assists the special services administrators with their administrative functions
- Administers SEMS report by maintaining information used for funding including updating total number of students of special classes
- Registers grades and attendance of special services students providing current student records to inquiries of staff and parents
- Prepares written documentation when providing requested information to appropriate parties
- Knowledge of state and federal laws and district policies regarding PEIMS data
- Monitor compliance of student documentation and data processes and procedures
- Reconciliation with student data management system and district PEIMS reports
- Report SPP data into the district management system
- Report PEIMS data into the district management system
- Monitor compliance of ARD/IEP Confirmation forms for PEIMS submission
- Monitor special services transportation documentation for coding purposes
- Provides PEIMS reports as requested by special services staff
- Participate in staff development and faculty meetings as assigned
- Attend training sessions that are provided by district personnel when requested
- Assist in departmental projects as needed
- Perform all other duties as assigned
WORKING/SPECIAL CONDITIONS:
The usual and customary methods of performing this job require the following:
Job may require prolonged periods of time sitting reaching and repetitive hand motions bending stooping. May require some lifting no more than 10lbs. Ability to maintain emotional control under stress. Overtime is required as necessary.
