Operations Administrator

30000 per annum
Hybrid 2 days per week in Chain of Hopes Hammersmith office

Charity People are delighted to be recruiting on behalf of our client Chain of Hope an international charity providing lifesaving cardiac care for children in developing countries. Through an incredible network of volunteer clinicians medical partners and global supporters Chain of Hope enables complex heart surgeries for children who would otherwise have no access to treatment.

We are supporting them in the search for a highly organised and motivated Operations Administrator to join their Charitable Operations team. This is a pivotal role that supports overseas medical missions and the International Child Referral Programme ensuring children families volunteers and clinical teams are able to travel safely and efficiently for lifesaving treatment.

About the Role

Working closely with senior coordinators and the wider operations team you will provide essential administrative and logistical support across overseas missions and patient transfer programmes. This is a dynamic varied role with a strong focus on coordination efficient systems management and highquality support to volunteers and medical partners.

Key areas include:

  • Coordinating travel visas accommodation and logistics for volunteers staff patients and escorts
  • Supporting preparation for overseas missions including mission documents checklists and procurement
  • Maintaining accurate operational and patient records databases and digital systems
  • Providing safeguarding compliance and volunteer administration support
  • Supporting international patient transfers including flight arrangements and medical clearances
  • Assisting with committees meetings briefings and followup actions
  • Offering occasional outofhours support during mission periods or urgent transfers

About You

Were looking for someone with:

  • Previous sector experience essential for understanding the complexity and sensitivity of international operations
  • Strong organisational and coordination skills
  • Excellent communication and stakeholder management abilities
  • Calm proactive problemsolving skills and high attention to detail
  • Confidence handling sensitive information
  • Flexibility when supporting urgent or timecritical activity

Experience within international operations volunteer coordination medical logistics safeguarding or NGO environments would be an advantage.

Working Arrangements

This is a fulltime permanent role based in London.
Chain of Hope operates a hybrid model with a requirement to be officebased a minimum of two days per week.
