Job Summary

Penick Village is looking for a Lead Receptionist to join out Resident Services Team!

The Lead Receptionist is the first point of contact for residents visitors families and vendors. This role combines exceptional customer service with leadership responsibilities ensuring the front desk operates smoothly professionally and with warmth. The Lead Receptionist supports and guides receptionist staff while maintaining a welcoming organized and efficient reception area.

Purpose of Job Position:

The purpose of this standard procedure is to provide excellent front-line leadership as a receptionist/driver for all Independent Living residents in a courteous and safe manner. Lead Receptionist are to provide excellent customer services to residents guests vendors and co-workers. As well as work in collaboration with the Resident Services Coordinator to ensure the daily functions of the department run smoothly.

Job Duties and Responsibilities:

Keep a record of the daily census and distribute it to listed Department Leaders.

Keep records in the front desk binders when a resident expires moves in or out or changes levels of care.

Respond to residents inquiries promptly cordially and direct residents to proper individuals when necessary.

Respond to visitors inquiries promptly cordially and direct them to the proper individuals or destination.

Answer the telephone using the proper telephone etiquette and transfer calls to the appropriate person or department as needed.

Make photocopies for residents.

Provide fax services for residents.

Sell postage stamps to residents upon request and maintain an ample supply for residents to purchase. Balance stamp box for each shift.

Take and enter work orders for maintenance housekeeping and IT departments.

Reserve guest suites for resident visitors using the guest suite binder and current software program used for room reservations.

Distribute inter-office mail accordingly.

Sort mail upon its arrival and distribute it to Admin mailboxes cottage mailboxes and the Terrace building (Med Tech Office or mailboxes for AL residents Station 1 for Skilled Nursing residents) promptly.

Collect outgoing mail from the Terrace building and bring it to the Village House daily for the postman to pick up and deliver to Southern Pines Post Office.

Write down the names of residents who have packages on package log sheet and call residents so that they can retrieve packages.

Arrange delivery of mail and packages to residents incapable of picking up from the front desk explaining the current delivery fee to residents if applicable. Deliveries may include lifting packages by hand using a cart or hand truck.

Operate a meter mail machine in the work room and place all mail being sent by Penick Village staff in the out-going mail as needed.

Sort newspapers at the resident services desk during morning shift using the distribution list provided in our binders. Keep the list up to date with any changes reported by residents.

Leave the newspaper for current residents of Woodlands Parkview and Wharton buildings outside their door unless otherwise noted and distribute Assisted Living papers to the Med Tech Office Skilled nursing papers to Station 1 and Garden Cottage to the Garden Cottage mailbox and life flag.

Deliver all Penick Village Library newspapers to the proper library on campus.

Operate a 2-way radio if applicable and return the radio each evening to the work room turning it off and placing it on the base for recharging.

When the second shift arrives communicate any changes or updates your co-worker should be made aware of for their shift this includes any resident expirations new residents changes in levels of care or residents who are in the hospital.

Receive and write receipts and/or petty cash slips for all financial transactions such as check cashing and payments for guest suites.

Complete the charge ticket process for those residents who would like to charge payments to their Penick Village monthly bill.

Receive all payments for monthly fees various bills and contributions and place them in the proper location or mailboxes.

Maintain and balance petty cash drawer and report all overages or shortages to the Resident Services Coordinator.

Transport residents in a safe and courteous manner to the Penick Village campus both to and from activities as requested.

Transport residents in a safe and courteous manner to and from medical appointments and pharmacy when needed as back up to transportation department.

Assist the Life Enrichment Department when needed. Duties may include shuttling residents by car to and from activities both on and off campus.

Assist residents to and from vehicles for safety purposes this includes items resident may need transported and any supportive devices such as walkers rollators oxygen tanks etc.

Educational Requirements and Qualifications:

1. Highschool diploma or GED equivalency

2. Minimum of 3 years driving experience operating similar vehicles in the US.

3. License type and endorsements must be appropriate for the vehicle they are operating.

4. License must not be suspended or revoked.

5. Foreign licenses are unacceptable.

6. Must pass a pre-employment driving record check and maintain an excellent drivers record for DMV records review.

7. Must meet the requirements for Penick Villages insurance carrier for liability coverage.

8. Ability to successfully train and operate 14-passenger vehicle to include wheelchair tie down.

9. Ability to evaluate and respond to driving situations including but not limited to inclement weather conditions road construction abrupt stops and heavy traffic flow.

10. Ability to pass CPR and First Aid training.

11. Computer and keyboarding skills.
