Kids In Distress (KID) is a nationally accredited organization dedicated to the prevention of child abuse the preservation of the family and the treatment of abused and neglected children. Founded in 1979 KID began as a small shelter for children in crisis and has since grown into one of South Floridas premier providers of child and family services. Over more than four decades the organization has expanded to operate two campuses in Broward County and foster care services in Palm Beach 2019 KID expanded its impact by acquiring Family Central Inc. (FCI) a long-standing leader in early learning family strengthening and child nutrition services across South Florida. Together KID and FCI deliver a continuum of care that strengthens and stabilizes families while helping children reach their full potential.

KID offers a well-integrated system of care staffed with clinical professionals who tenaciously strive to encourage educate empower and equip children and families with the proper tools to ensure a safe and strong community. By advancing critical and clinical care to at-risk children and families in need KID is known as the premier provider of child and family services in South Florida and along with FCI serves more than 20000 children and families annually. POSITION SUMMARY:

The Advancement Administrator provides general administrative support to the Vice President of Advancement. This role focuses on scheduling organization and logistical assistance to help day-to-day operations run smoothly. The position is task-oriented and supports projects and events as assigned. This position reports to the Vice President of Advancement.

PRIMARY DUTIES & RESPONSIBILITIES:

Administrative Support

  • Schedule meetings calls and appointments for the Vice President of Advancement
  • Assist with meeting preparation including agendas materials and notes
  • Maintain organized digital and physical files
  • Provide administrative support to the Advancement team as requested

Calendar & Coordination

  • Manage calendar requests and confirm logistics
  • Assist with tracking deadlines and basic task lists
  • Support internal coordination across departments

Event & Team Support

  • Assist with event logistics registrations materials and on-site support
  • Support team needs during events and meetings
  • Provide general support during peak activity periods

Communications & Social Media (Plus)

  • Assist with basic social media posting or content scheduling
  • Support drafting simple communications and reminders

KNOWLEDGE SKILLS AND ABILITIES (KSAs):

  • Knowledge of administrative support functions including scheduling meetings coordinating calendars preparing agendas and materials and supporting day-to-day office operations.
  • Skill in organizing tasks maintaining files and records tracking assignments and deadlines and ensuring projects meetings and initiatives remain orderly and on time.
  • Ability to communicate clearly and professionally both verbally and in writing while maintaining a polite service-oriented demeanor with staff leadership partners and event attendees.
  • Skill in assisting with meeting logistics and event preparation including registrations materials schedules and providing on-site support as needed.
  • Ability to complete work accurately follow instructions carefully manage details consistently and meet deadlines with minimal supervision.
  • Working knowledge of Microsoft Office Google Workspace email and calendar tools; familiarity with basic social media posting or scheduling tools is a plus.
  • Ability to adjust to shifting priorities respond promptly to requests from the Vice President of Advancement and team members and support departmental needs during peak periods.
  • Ability to work cooperatively within a team environment support leadership and colleagues as needed and contribute to a positive professional on-site workplace.

QUALIFICATIONS:

  • 13 years of administrative experience
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office / Google Workspace
  • Professional polite and service-oriented demeanor
  • On-site availability
  • Minimum Requirement: High School Diploma or GED
    • Preferred (but not required): Some college coursework or an Associates degree in: Business Administration Office Administration Communications Nonprofit Management (or related field).

Other Requirements

  • Licenses (e.g. drivers license for travel).
  • Availability to work evenings weekends or extended hours during events or projects.

PHYSICAL DEMANDS:

Duties may involve sitting walking standing using hands and arms talking and listening. Occasional light lifting may be required. Employees must be able to focus visually at close range and distinguish colors. Work is typically performed in a climate-controlled environment with moderate noise though some situations may involve higher noise levels.
