The Client Intake Coordinator streamlines client onboarding guiding clients from referral to lease signing or further. This role combines administrative support client engagement and inter-departmental coordination. As the main contact for new clients they bridge the gap between prospective tenants and Avalons Services and Property Management Teams.

Core Responsibilities Include:
Intake Coordination/Waitlist Management
- Receive referrals from the Chronic Homeless Prioritization (CHP) committee and initiate the intake process
- Serve as the primary point of contact for new clients guiding them through Avalons intake process
- Perform necessary income certifications on applicants along with processing the appropriate applications through our third party auditor for approval prior to move in in compliance with Avalons Tax Credit commitments.
- Perform Initial Housing Assessments
- Coordinate document support with third party Housing agents
- Arrange meetings between clients and Avalon staff ensuring a seamless transition to the Avalon Property Management and Services teams
- Create a client profile in our database system and collect all appropriate documents/data
- Assertive outreach to unhoused people at the Delonis Shelter camps warming centers as needed for purposes of intake coordination
- Participate in program development efforts and provide input to optimize the intake process
- Serve as the lead on any wait list opening and management for Avalons non-suppprtive housing units.
Data / Document Management
- Accurately and promptly enter client data into relevant systems including Foothold and HMIS
- Support with other software systems including OneSite Property Management software
- Coordinate third party voucher applications and needed documentation. (AAHC RPI CMA JHC etc)
- Assist the Property Managers with data for the department dashboard as well as the joint dashboard with Services and Evaluation
- Adhere to regulations and standards ensuring client data is managed with utmost confidentiality. This includes HIPAA and various other regulatory requirements.
- Participate in data management process improvement work overall.
- Participate in reports due to third party funding sources when necessary.
Desired Qualifications & Experience
- Prior experience in intake coordination preferably in healthcare or housing
- Proficiency in data management systems with a preference for experience in Foothold and HMIS
- Strong interpersonal skills and a dedication to providing exceptional customer service
- Ability to work cross-functionally with multiple teams
- Knowledge of document verification and administrative support
- Some background in social work or behavioral science
- Understanding of HIPAA regulations
- Strong organizational skills and ability to work on and track multiple tasks

Location: Primarily based at Avalons main office at 1327 Jones Drive Ann Arbor. Regular field and outreach work to locations such as the Delonis Shelter. Remote work is possible when focusing on administrative tasks.

Starting Wage: $$47547.00
