Job Summary

Applied Pharmaceutical Innovation (API) brings life-saving research to the real world by helping life science innovators bridge the gap between academic research and commercial product development. When you join API you are part of a rapidly growing team that is creating collaborative opportunities to commercialize Canadian life sciences discoveries increasing the amount of commercial research and development in the country and supporting Alberta as a key pillar in Canadas life sciences sector.


This role will be based at our Biotechnology Business Development Centre (BBDC) located at 201194th Street Edmonton Research Park.


** Please note this position requires full-time on-site presence.

Front Desk and Visitor Services

  • Staff front desk and serve as first point of contact for building visitors.
  • Maintaining security procedures for visitor admission.
  • Answer phone calls and assist with deliveries.
  • Direct telephone and email inquires.
  • Distribute short-term keys/fobs and parking placards.


Meetings Events & Hospitality

  • Assisting with the set-up running and closing of meetings and events (can be outside
    regular working hours).
  • Manage meeting room bookings Joan devices and assistance with meeting room
  • Set up and clean meeting spaces.
  • Arrange hospitality and catering for meetings.
  • Support the hosting of API events.


Office Operations & Facilities

  • Daily routine upkeep and maintenance of coffee machine shared kitchens and plants.
  • Manage snack inventory and replenishment.
  • Interface with contractors supporting tenant/guest experience (e.g. coffee connection Otis)
  • Manage mail packages and deliveries to and from the office.
  • Coordinate with building operations staff for maintenance requests.


Tenant & Subtenant Relations

  • Coordinate and set up office/cubicle space for new team members.
  • Coordinate office/cubicle space and be the main point of contact for Subtenants
  • Communicate tenant concerns to appropriate API delegate(s).
  • Email communication to tenants through CRM.


Administration & General Support

  • Communication with vendors and service providers.
  • Supporting other API teams as needed.
  • Other assorted tasks and errands as required.

Qualifications - (Education Certification Degree Skills Knowledge etc.)

Education

  • High School Diploma required.
  • Completion of a post secondary education is an asset.

Experience:

  • Minimum 2 years of experience client service; relevant volunteer or post-secondary experience will be considered.
  • Hospitality event planning tour hosting or service roles (e.g. hotel concierge server hostess) is considered an asset.
  • Vendor coordination (e.g. caterers AV providers facilities support) is considered an asset.


Personal Competencies

  • Proficiency in hosting and facilitating both in-person and virtual events via Zoom Google Meet and Microsoft Teams.
  • Familiarity with SharePoint and working knowledge of Microsoft Office Suite
  • Collaborative and enthusiastic team player with excellent interpersonal and communication skills
  • Professional demeanor with the ability to act as a representative of API and interface confidently with stakeholders
  • Proactive self-motivated and solution oriented with strong attention to detail and commitment to accuracy.
  • Dependable resourceful and committed to delivering high-quality service
  • Comfortable operating in a startup environment where processes and systems are evolving


Working Conditions:

  • Required travel between Edmonton API sites.
  • This position requires you to be on site.
  • Monday-Friday 8:30am-4:30pm
