JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Grants and Contracts Coordinator provides administrative functions for pre-award grant development data entry verification of accuracy and approvals for grant and contract proposals aspects of sub- and post-award distribution within the College of Health Professions (COHP) and College of Dentistry (CoD). This position serves as the colleges pre- post- and sub-award subject matter expert for the researchers within the college and as the liaison with parties external to the college such as the campus research office for both federal and non-federal grants and contracts through Research Administration and Sponsored Programs. This position collaborates with the Deans Offices on grants and contracts for the Colleges both in Memphis and Knoxville.



Responsibilities
  1. Provides policy guidance and assistance to investigators with the interpretation of funding agency regulations and requirements proposal development administrative forms and compliance requirements.

  2. Coordinates the planning and preparation of grant proposals for the COHP.

  3. Advises and assists investigators as appropriate in the design formatting and preparation of grant documentation and ensures proposals are submitted in accordance with COHP OSP and granting agency requirements.

  4. Assists the Principal Investigator with Just-In-Time documentation.

  5. Responds to special requests from internal and/or external stakeholders and sponsors on matters relating to the departments grant and/or contract operations.

  6. Develops and maintains specialized databases and systems for recording and tracking grant proposals awards and related statistical information.

  7. Creates and distributes standard and special reports studies summaries and analyses as required.

  8. Serves as a liaison between investigators granting agencies and the COHP Assistant Dean for Finance & Administrations office in the preparation of grant proposal budgets and budget justifications.

  9. Disseminates and/or presents changes to departments and advises on the implementation of changes and on the impact of changes on funded operations.

  10. Ensures proper preparation and retention of pre-award documentation for all grants and contracts; facilitates and supports the research and identification of funding opportunities on behalf of COHP investigators as appropriate.

  11. Performs other duties as requested.



Qualifications

MINIMUM REQUIREMENTS:

EDUCATION:Bachelors Degree. (TRANSCRIPT REQUIRED)

EXPERIENCE:One (1) year of professional experience with grants research and contracts preferably in an academic or business setting;OR a combination of education and experience to equal five (5) years.

KNOWLEDGE SKILLS AND ABILITIES:

  • Ability to develop and produce grants and other proposals.

  • Ability to communicate effectively both orally and in writing.

  • Knowledge of current developments/trends in area of expertise.

  • Ability to determine informational needs collect and analyze information and devise and develop statistical analyses and reports.

  • Database management skills.

  • Skill in organizing resources and establishing priorities.

  • Ability to analyze and interpret financial data and prepare financial reports.

  • Ability to provide technical advice and information to faculty and staff in area of expertise.

  • Knowledge of grant funding policies and procedures and applicable local state federal and university regulations.

  • Knowledge of budgeting and fiscal management principles and procedures.

  • Ability to conduct literature searches.

  • Knowledge of potential sources of health care contracts and grant funding.

WORK SCHEDULE:This position may occasionally be required to work weekends and evenings. May require occasional overnight travel.
