GENERAL DESCRIPTION OF POSITION
The Services Coordinator is housed within Campus Living and provides administrative operational and customer service support that helps students navigate housing campus services and key Student Affairs processes. This position serves as a central service hub for Clark Hall providing front desk leadership administrative coordination and high-quality customer service to students families faculty staff and visitors. The Services Coordinator supports efficient operations through budget management and processing parking permit administration for the Forest Grove campus supervision of student employees and coordination of divisional and departmental processes. The role requires strong organizational skills sound judgment and the ability to work collaboratively across functional areas while remaining responsive to evolving institutional needs.


The expected annual salary range is $41600 - $45900 depending on qualifications and experience.

ESSENTIAL FUNCTIONS
The following major responsibilities and secondary functions are essential to the successful performance of this position.

MAJOR RESPONSIBILITIES:

Front Desk Operations

  • Manage daily operations of the Clark Hall front desk serving as a central point of information and support for Student Affairs areas housed in the building.
  • Cultivate a high-standard service culture that ensures a welcoming inclusive and professional environment for all Clark Hall visitors.
  • Assess needs provide information coordinate services and refer individuals to appropriate campus resources.
  • Coordinate responses to general email accounts and service inquiries with professionalism and discretion.

Access Services & Logistics

  • Lead administration of parking permits for the Forest Grove campus.
  • Coordinate parking application processing database updates permit issuance and customer communication.
  • Provide coordination and logistical support for student services such as but not limited to airport shuttles and recreation center passes.

Student Employee Supervision

  • Recruit hire train schedule and supervise student employees supporting front desk operations and administrative projects.
  • Provide ongoing coaching feedback and performance oversight to support student growth and leadership.
  • Ensure accurate timekeeping and payroll coordination.

Financial & Administrative Support

  • Coordinate administrative budget support for designated Student Affairs areas.
  • Process payments invoices reimbursements and purchasing documentation in accordance with university procedures.
  • Track expenditures assist with reconciliation and support budget monitoring.

Housing Administrative Support

  • Troubleshoot and resolve residential student inquiries with generosity and accuracy serving as a knowledgeable bridge to appropriate resources.
  • Provide administrative and coordination support for housing processes which may include guest and short-term housing summer housing and academic-year housing.

Facilities & Office Coordination

  • Coordinate the day-to-day care of Clark Hall shared spaces including scheduling cleanliness organization supplies and operational readiness.
  • Serve as an operational and safety support resource for the building.
  • Assist with office transitions and onboarding logistics.

Divisional & Project Support

  • Support divisional and departmental projects initiatives and events.
  • Analyze administrative processes and recommend improvements to enhance efficiency and service delivery.

SECONDARY FUNCTIONS

  • Serve on university or divisional committees task forces and hiring committees as assigned.
  • Provide logistical and administrative support for meetings orientations trainings retreats and special events.
  • Assist with preparation and editing of administrative documents templates webpages and communications.
  • Provide back-up support to Campus Living and Student Affairs colleagues as needed.
  • Identify opportunities to enhance service delivery and the student experience.
  • Perform other related duties as assigned.

JOB SCOPE
Performs position duties under the direction of the Associate Director of Campus Living operating within established practices and university policies. Decisions are typically made within defined guidelines but require independent judgment organization and initiative. Matters of significant consequence are addressed in consultation with the supervisor.

The role carries responsibility for administrative coordination financial processing service delivery and student supervision with work that can significantly impact operational effectiveness resource management and the student experience. The position requires strong interpersonal organizational and administrative skills and the ability to adapt to changing priorities.

SUPERVISOR RESPONSIBILITY

As assigned direct supervisory responsibility of student employees. Provides training guidance scheduling oversight and task-specific direction to student workers.



Qualifications

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelors degree preferred; or a high school diploma (or equivalent) with four or more years of relevant professional experience in an office or administrative support role.
  • Minimum of 2 years of administrative or operational experience preferably in a higher education or student services setting.
  • Demonstrated experience providing customer service and coordinating administrative processes.
  • Demonstrated ability to effectively use workplace technology including Google Workspace databases and related software applications.

REQUIRED QUALIFICATIONS

  • Excellent customer service and successful written and verbal communication with a broad and diverse audience in a culturally responsive manner.
  • Ability to maintain confidential detailed records.
  • Proficient in the use of common office software spreadsheets email databases and electronic platforms.
  • Demonstrated ability to work collaboratively with people in a wide range of roles.
  • Demonstrates critical thinking skills in problem solving and decision-making.
  • Ability to build and sustain rich collaborative relationships with university staff students and university partners of diverse backgrounds.
  • Ability to prioritize and perform multiple projects track data meet timelines respond to others in a timely manner and work both independently and as a collaborative member of the University with a high standard of integrity and ethics in support of the Universitys strategic vision and the divisions annual goals.
  • Able to make independent decisions and recommendations that align with policies rules and procedures; ability to ask questions and seek assistance when needed.
  • Able to handle a variety of tasks in a fast-paced environment working independently and/or as part of a team.

PREFERRED QUALIFICATIONS

  • Experience working within Student Affairs Campus Living or a related functional area.
  • Experience supervising student employees.
  • Strong proficiency with spreadsheets and data management tools (e.g. Excel Google Sheets) including formulas data tracking and reporting.
  • Experience with budget support payment processing and financial documentation.
  • Familiarity with relational databases or student information systems (e.g. Ellucian Colleague).
  • Demonstrated ability to work collaboratively across departments while managing confidential information.

WORKING CONDITIONS

Work Setting:

  • This is a full-time in-person (not remote) position based on the Forest Grove campus.

Schedule Expectations:

  • Typically standard weekday hours (MondayFriday) apx. 8:30-5:30 though hours may vary depending on departmental needs
  • Occasional early morning evening and weekend work especially during the start (August) and end (May) of most programs academic years.

PHYSICAL REQUIREMENTS and ACTIVITIES

  • Light work involves lifting up to 20 pounds
  • Visual acuity ability to see and interpret visual information
  • Standing and walking for extended periods
  • Repetitive hand motions including fingering and grasping
  • Talking and hearing to communicate with others
