Office Administrative Assistant Overview:

The Office Administrative Assistant works under the supervision of the County Extension Director and the Office Manager. It is the responsibility of this position to assist County Extension Agents Cooperative Extension Agents Program Assistants and other staff to maintain a business atmosphere and create a feeling of goodwill through courteous treatment of others and efficient service.


The role keeps foremost in mind the matter of creating goodwill toward Harris County Texas A&M AgriLife Extension Service The Texas A&M University System and the United States Department of Agriculture in the handling of all office matters.


Performs the duties below and other duties assigned as deemed necessary:

  • Assists County Extension Agents and other staff in the development and administration of educational programs

  • Answers phone calls and directs callers to the appropriate agent

  • Assists other support staff as needed

  • Handles routine inquiries on own initiative

  • Occasionally lifts/carries objects/boxes

  • Maintains a working inventory of educational materials

  • Maintains mailing list databases

  • Makes notations on calendars of meetings conferences and deadlines for reports

  • Keeps accurate records and maintains a uniform filing system

  • Design update/edit and create program flyers and department newsletters for various educational events

  • Prepares travel requests and reimbursements in accordance with Harris County policies in a timely manner

  • Studies and adheres to various policies and procedures that apply to the conduct of the county office

  • Assists with other assignments as delegated by the County Extension Director and/or the Office Manager

Requirements

All applicants must register and complete the HRTClerical Skills Test witha minimum of 85%and a typing speed of 35 wpm with 80% accuracy.

Education:
  • High School Diploma
Experience:
  • A minimum of five(5) years verifiable experience as an Administrative Assistant.
Knowledge Skills & Abilities:
  • Working knowledge of computers printers and related software.
  • Ability to answer multi-line phone system.
  • Knowledge of business English spelling punctuation and math.
  • Possession of good vocabulary is needed.
  • Ability to make mathematical computations and tabulations accurately and with reasonable speed.
  • Cross-train with other administrative staff to ensure assignments can be covered during staff absences without any loss of effectiveness

Preferences

  • Good software skills with programs such as Adobe Microsoft Office and Canva.

  • Ability to create posts on social media sites such as Facebook Instagram etc.

  • Possess strong written and oral communication skills.

  • Position Type and Typical Hours of Work:

    • Full-Time Regular

    • Monday Friday 7:30 AM - 4:00 PM

    • This is a 100% in-office position with no option for remote work.

    Employment may be contingent on passing a drug screen and meeting other standards.
