Position Purpose and Summary

The Membership Intake Assistant reports to the Director of Member Policies and Procedures and provides administrative logistical and limited programmatic support for the membership intake process. The Assistant supports the Membership Intake Coordinator and the execution of intake operations ensuring efficiency accuracy and compliance with established policies and procedures. This position assists in coordinating intake-related activities maintaining records preparing reports and supporting communications with chapters and regional leadership. The Membership Intake Assistant plays a key role in helping the department deliver a seamless compliant intake experience for all participants.


Duties and Responsibilities

Provides administrative and logistical support to the Director and Membership Intake Coordinator in the coordination and execution of membership intake activities.

Assists with scheduling and coordinating meetings trainings and events related to the membership intake program.

Prepares and organizes materials correspondence and reports associated with the intake process.

Maintains accurate and confidential membership intake records data files and tracking systems on a monthly quarterly and annual basis.

Supports the preparation proofreading and editing of intake materials communications and departmental publications.

Assists in tracking intake timelines milestones and deliverables to ensure adherence to established schedules and procedures.

Coordinates with the Customer Support Service Center to facilitate shipment return and inventory of membership intake materials.

Provides courteous and timely responses to email inquiries and assists in resolving general intake-related questions or concerns.

Supports the compilation of membership intake statistics reports and updates for national and regional leadership.

Collaborates with internal departments committees and regional leadership to ensure alignment and consistency across membership intake operations.

Assists with the coordination of membership intake activities during national conventions and regional conferences.

Maintains and updates workflow trackers project management tools and intake process logs to ensure visibility of tasks and milestones.

Prepares departmental updates meeting summaries and interdepartmental communications related to membership intake coordination and compliance.

Maintains and updates departmental resources such as intake FAQs reference guides and internal documentation to support knowledge sharing and consistency.

Participates in ongoing professional development and training opportunities to enhance knowledge and skills.

Performs other duties as assigned by the Director.


Minimum Qualifications (Knowledge Skills and Abilities)

Member of Delta Sigma Theta Sorority Incorporated with knowledge of its policies standards and procedures.

Bachelors degree preferably in business administration or a related field.

Minimum of one (1) to two (2) years of administrative or program coordination experience preferably in a nonprofit or membership-based organization.

Excellent organizational skills and the ability to manage multiple priorities and deadlines in a fast-paced environment.

Proficient in Microsoft Office Suite and comfortable with database systems and online collaboration tools.

Strong written and verbal communication skills with attention to accuracy and professionalism.

Ability to maintain confidentiality and exercise discretion tact and sound judgment.

Demonstrated ability to work collaboratively and independently with minimal supervision.

Strong interpersonal skills and the ability to interact effectively with staff members and volunteers at all levels.

Ability to travel frequently for meetings trainings and conferences.

Relocation assistance is not available. Must reside within a 50-mile radius of National Headquarters within six (6) months of start date.
