Position Overview
QinetiQ is seeking a Mission Support Specialist to support a DHS client. This position provides key assistance to the RSC by providing management and administrative support in the following mission support areas: planning finance and budget logistics and procurement human resources records and files management and/or office automation.
This position is responsible for several budget and planning-oriented tasks using various government systems in addition to the use and application of TRIRIGA. Additionally this position assists with administrative tasks. This position draws on an understanding of program policies and procedures to develop and implement supplementary instructions for staff and to complete various support functions.
Responsibilities
- Liaise with internal teams within the FOF PMO and external stakeholders such as OFAM OSF GSA OFO OIT and F&LD
- Perform TRIRIGA data validation edits and opportunity and project updates to include supporting requirements maturation from MCACONs to Opportunities to Projects
- Coordinate submission of electronic Funding Determination Tool (eFDT) submissions by all PMs
- Manage and review all Consolidated Financial Tool (CFT) submissions as related to Planning Out Year (POY) Order of Priority List (OPL) and Bipartisan Infrastructure Law (BIL) requirements and projects
- Assist with Strategic Resource Assessment (SRA) tool data maintenance ingestion exporting reporting and training activities
- Lead Planning support efforts for assigned Region(s) by providing thought leadership and education for stakeholders regarding planning initiatives processes and information
- Facilitate monthly regional planning meetings with stakeholders
- Perform Order of Priority List (OPL)/MCACON/opportunity/requirements data management
- Attend and contribute to monthly OFO-hosted Field Office calls
- Assist with taskings; work with FOF OFAM and OSF tasking teams as well as FOF PMs and Embeds to complete tasking assignments
- Coordinate lease updates/tracking
- Track Project Change Requests (CR) to include submissions status and approvals
- Provide meeting minutes for RSC meetings
- Run project reports in TRIRIGA; notify RSC of any projects that need assignments
- Prepare variety of recurring and ad hoc reports including but not limited to emergency contact lists weekly work tracking spreadsheets etc.
- Establish various procedures processes and policies as necessary
- Establish maintain and monitor a variety of records including personnel files and records
- Respond to human resources questions when possible
- Assist in responding to and interacting with internal and external stakeholders
- Advise RSC on mission support issues; identify and propose recommendations to any issues or concerns
- Ensure that administrative procedures are being followed; communicate procedures and changes to staff
- Navigate and utilize relevant systems such as SharePoint and TRIRIGA
- Input data into various government databases
- Assist in responding to taskers assigned by headquarters
- Arrange training for maintenance personnel and maintain training records
- Provide back-up support to other mission support staff
- Provide production control for work orders when necessary
- Liaison between customer and OSF for facilities needs
- Provide administrative support to PIB Project Managers and Embedded Project Managers
- Track funding invoicing and services for operational contracts
Required Qualifications
- Bachelors Degree or equivalent and a minimum of 5 or more years of experience in facility management is required.
- Ability to communicate clearly with a wide variety of stakeholders
- Ability to interpret and organize management directives and correspondence
- Possess strong communication skills both written and oral
- Possess strong organization skills
- Ability to navigate government systems such as SharePoint and TRIRIGA
- Ability to exercise judgment in interpreting and adapting guidelines for documenting administrative actions
- Ability to communicate guidelines and processes to staff
- Ability to adapt to changing resources and requirements
- Possess strong interpersonal skills and customer service orientation
- Ability to anticipate procedural and administrative requirements of staff and customers
- Demonstrated proficiency in the Microsoft Office suite of programs (Outlook Word Excel and PowerPoint)
- Ability to obtain and maintain a DHS Public Trust.
Pay Transparency
The salary range for this role is $64400- $95800 USD. The salary range provided is a good faith estimate representative of all experience levels.
