Job Summary

Job Description: The Administrative Assistant assists the department chair with administrative tasks oversees the daily operations of the department office provides support to department faculty adjuncts and students and maintains department records.

  • Maintains daily operations of the office which may include supervising support staff and students and conducting necessary office training.
  • Communicates and assists students faculty and administrators on University policy matters.
  • Gathers information and prepares various reports correspondence and memorandums; researches and resolves issues.
  • Supports organizing and publicizing annual events within the department.
  • Supports department recruiting and retention efforts.
  • Develops relationships with vendors and expedites development of contracts.
  • Prepares special or confidential reports and assists with projects or surveys.
  • Assumes responsibility for office processes andoversees projects through to completion.
  • Maintains files and appointment and event calendars.
  • Greets and screens visitors and phone calls; relays messages responds or takes necessary action or refers to appropriate person for resolution.
  • Maintains personnel records supports adjunct faculty tracks and reconciles the department budget completes payroll action forms submits maintenance requests maintains a department equipment inventory and submits purchase orders.
  • Other duties as assigned.

SUPERVISION:

Reports to the chair of the Department of Social Sciences.

MINIMUM QUALIFICATIONS:

  1. Graduate of a standard high school or equivalent.
  2. Ability to coordinate and manage complex processes.
  3. Ability to type fifty (50) words per minute.
  4. Proficiency in the use of Microsoft PowerPoint Excel Word Access Database Adobe Acrobat PDF accessibility software or equivalent.
  5. Thorough knowledge of spelling punctuation and grammar.
  6. Strong interpersonal skills
  7. Superior customer service skills
  8. Demonstrated ability to work in web-based computer programs such as Banner and information scanning systems and to improve efficiency within an office environment using such technologies.
  9. Ability to handle multiple tasks in a variety of areas.

PREFERRED QUALIFICATIONS:

  1. Teamwork and leadership experience.
  2. 3-5 years of experience relative to administrative and/or project management and/or training programs.
  3. Proven writing skills. Experience with Banner or equivalent management software and other University computer software.
  4. Baccalaureate degree and experience working positively with faculty and students.
  5. Demonstrated use of strong management administrative and communication skills to achieve team projects.

PHYSICAL REQUIREMENTS:

Ability to lift objects under 15 pounds including using the upper body to raise objects from a lower position to a higher position; ability to reach including extending the arms and hands; ability to stand for short or extended periods of time; ability to engage in repetitive motions including finger dexterity; ability to speak hear and see; ability to crouch climb and walk stairs.

SALARY:

Commensurate with education and work experience.
