WHO WE ARE LOOKING FOR:

The Data Entry Clerk at Hope Solutions is an essential member of our team dedicated to ensuring the accuracy and integrity of our data management processes. This role is responsible for meticulously inputting updating and maintaining data across a variety of platforms including databases spreadsheets and other organizational systems. The Data Entry Clerks efforts are crucial in supporting our operations providing reliable data that drives informed decision-making and strategic planning.

Key responsibilities include verifying the accuracy of data before entry identifying and correcting any discrepancies and collaborating with other team members to ensure consistent data quality. The Data Entry Clerk will have a keen eye for detail strong organizational skills and the ability to handle large volumes of data with precision and efficiency.


By maintaining high standards of data integrity the Data Entry Clerk plays a critical part in the smooth functioning of Hope Solutions enabling us to deliver our services effectively and uphold our commitment to excellence.

WHAT WILL YOU DO:

Data Entry and Verification:

  • Accurately enter data into databases spreadsheets or other systems.
  • Verify the correctness of data entries.
  • Pay meticulous attention to detail to prevent errors and ensure accuracy.

Data Organization:

  • Organize and maintain electronic data files ensuring data integrity and quality control.
  • Contribute to the overall efficiency of data management processes.

Collaboration and Audits:

  • Work with the Director of Evaluation & Learning Data Manager and CalAIM & Program Data Analyst.
  • Ensure high-quality data entry to and from county HMIS systems and Apricot client management database.
  • Collect and digitize data from hard copy forms and financial documents.
  • Perform routine audits of HMIS and internal data sources.
  • Identify missing data and inconsistencies in recorded data by working with various other information sources.
  • Report data variations and non-compliance to the Director of Evaluation & Learning Data Manager and CalAIM & Program Data Analyst.

Organizational/Administrative Responsibilities:

  • Professionally represent Hope Solutions in all circumstances.
  • Comply withall legal/ethical professional guidelines formaintainingconsumer confidentiality adhering to HIPAA guidelines protecting consumer rights advocating on consumers behalf and assuring consumer safety.
  • Comply withall local state and federal regulations and Hope Solutions policies and procedures.
  • Complete required administrative paperwork and reports ina timelyandaccuratemanner.
  • Attend all required meetings including but not limited to Hope Solutions staff meetings team meetings consumer case conferences and linkage meetings with other agencies.
  • Complete required personnel-related paperwork and complete expenditure reports for food supplies petty cash expenses and/or mileage ina timelyandaccuratemanner.
  • Document all services providedin a timely manner.
  • Assistwith data generation for reports and funding applications as needed.
  • Perform other duties and responsibilities as assigned.
  • On-call after-hours and backup work may berequired.

PositionQualifications:

  • At least one year of experience working with HMIS data systems.
  • Ability to meet deadlines.
  • Organized with rigorous attention to detail; organizational skills including record-keeping data entry planning filing and managing schedules.
  • Strong proficiency with basic technology and thorough proficiency with Microsoft Office Word Excel and PowerPoint.
  • Demonstrated ability to work both autonomously and as part of a team.
  • Friendliness and positive attitude with excellent customer services skills
  • Must pass LiveScan screening and TB test.
