Job Summary:
Provides high-level administrative and management support to senior executives (e.g. Deputy Assistant Secretary). Manages complex calendars meeting requests andlogisticsincluding virtual setups building access and escorts. Liaises with internal and external stakeholdersfacilitatescorrespondence control arranges domestic and international travel and develops office SOPs. May attend meetings on behalf of the executive and provide written readouts. Often handles sensitive and confidential information including classified correspondence.
Responsibilities and Duties:
- Manage complex calendars meeting requests and logistics for senior executives
- Coordinate virtual meeting setups building access and escort services
- Liaise with internal and external stakeholders
- Facilitate correspondence control processes
- Arrange domestic and international travel in compliance with federal regulations
- Develop and maintain office Standard Operating Procedures (SOPs)
- May attend meetings on behalf of the executive and provide written readouts
- Handle sensitive and confidential information including classified correspondence
Qualifications and Skills:
- High School Diploma or GED 7 years of progressively responsible executive-level administrative support experience
- Equivalency: Associates Degree 5 years experience; OR Bachelors Degree 3 years experience
- Exceptional organizational communication (written and verbal) and interpersonal skills
- Highly proficient in calendar management and meeting coordination
- Extensive experience with federal travel regulations (FTR) correspondence control systems and document management
- Ability to handle sensitive and classified information with discretion
- Advanced proficiency in Microsoft Office Suite
