Job Summary

The Manager Outpatient Pharmacy & CHC Inventory Operations provides operational leadership for inventory management across outpatient pharmacies and community health centers. This role is accountable for inventory accuracy medication availability regulatory execution and cost-effective inventory practices that support sage reliable patient care. The Manager establishes standardizes inventory workflows leads inventory staff and ensures disciplined execution of ordering (where applicable) receiving storage and replenishment processes. This role exists to stabilize outpatient inventory operations reduce waste and emergency purchasing and ensure compliance with regulatory requirements including DSCSA through consistent operational execution.

POSITION SUMMARY:

The Manager Outpatient Pharmacy & CHC Inventory Operations provides operational leadership for inventory management across outpatient pharmacies and community health centers. This role is accountable for inventory accuracy medication availability regulatory execution and cost-effective inventory practices that support sage reliable patient care. The Manager establishes standardizes inventory workflows leads inventory staff and ensures disciplined execution of ordering (where applicable) receiving storage and replenishment processes. This role exists to stabilize outpatient inventory operations reduce waste and emergency purchasing and ensure compliance with regulatory requirements including DSCSA through consistent operational execution.

ESSENTIAL RESPONSIBILITIES / DUTIES:

1.Outpatient & CHC Inventory Operations

  • Own inventory operations for all outpatient pharmacies and Community Health Centers (CHC).
  • Ensure accurate receiving storage rotation cycle counting and replenishment of medications.
  • Oversee the ordering of drug specifically for out-of-stock prescriptions. Collaborate with procurement leaders to ensure proper communication and workflows for out-of-stock medications.
  • Monitor inventory performance indicators including turns expirations stockouts and inventory accuracy.
  • Coordinate responses to recalls backorders and supply disruptions impacting outpatient locations.
  • Ensure medication availability support safe timely patient care.

2.Team Leadership & Workforce Management

  • Directly manage outpatient inventory specialists.
  • Define clear roles responsibilities and standard work for inventory staff.
  • Provide training coaching and performance management.
  • Ensure appropriate staff coverage workload balance and continuity of operations.
  • Establish appropriate leadership coverage through clear structure and defined accountability.

3.Inventory Control & Cost Stewardship

  • Reduce expired medications excess inventory and emergency purchasing through proactive inventory management.
  • Monitor inventory adjustments and investigate variances.
  • Coordinate returns credits and disposition of expired or non-usable inventory.
  • Use inventory data and trends to identify risks inefficiencies and improvement opportunities.

4.Procurement & Operational Coordination

  • Coordinate closely with procurement and wholesaler partners regarding ordering and supply issues.
  • Oversee targeted ordering activities to resolve out-of-stock prescriptions in accordance with established workflows and in close coordination with procurement leadership.
  • Support resolution of receiving discrepancies shortages and invoice issues related to outpatient inventory.
  • Provide operational input to procurement teams based on inventory performance and demand patterns.

5.DSCSA Execution & Regulatory Compliance

  • Execute DSCSA-related inventory requirements within outpatient pharmacy operations.
  • Ensure proper handling of serialized product during receiving storage and distribution.
  • Support investigation and resolution of DSCSA exceptions.
  • Maintain accurate inventory records and documentation to support audits and regulatory inspections.
  • Ensure staff follow standard procedures related to traceability and product verification.

6.Process Improvement & Standardization

  • Lead continuous improvement efforts to standardize outpatient inventory workflows.
  • Support process improvements related to the selection implementation and adoption of pharmacy inventory systems.
  • Reduce manual work and variability through standard work and process redesign.
  • Develop and monitor inventory performance metrics and dashboards.
  • Promote a culture of operational discipline and continuous improvement.

Job Requirements

EDUCATION:

  • Bachelors degree from an accredited college or university required.
  • Advanced degree (MS MBA or PharmD) preferred.

CERTIFICATES LICENSES REGISTRATIONS REQUIRED:

  • National pharmacy technician certification (CPhT) required only if candidate is not a licensed pharmacist.

EXPERIENCE:

  • Minimum of 5 years of experience in outpatient pharmacy inventory or operations. Experience with health system/hospital pharmacies a plus.
  • Prior supervisory or management experience required.
  • Experience managing multi-site outpatient inventory operations strongly preferred

KNOWLEDGE SKILLS & ABILITIES (KSA):

  • Experience with Microsoft programs i.e. MS Word Excel Outlook) and web browsers.
  • Experience with pharmacy management or inventory management software. Experience with QS1-NRX is a plus.
  • Strong knowledge of outpatient pharmacy inventory workflows and controls
  • Understanding of DSCSA execution requirements in pharmacy inventory operations
  • Strong analytics and problem-solving skills
  • Ability to lead teams and manage competing operational priorities
  • High attention to detail and operational discipline

Compensation Range:

$90500.00- $131500.00

This range offers an estimate based on the minimum job qualifications. However our approach to determining base pay is comprehensive and a broad range of factors is considered when making an offer.
