Job Summary

We are looking for an Intern to support our NPE (Nutrition Plant Engineering) Division with day-to-day coordination between Service Sales and Service Execution teams. The intern will help manage leads and opportunities in the CRM support quoting and basic commercial preparation in Excel maintain accurate master data in I-base and provide general administrative support to improve speed quality and customer responsiveness.

Responsibilities / Tasks

Key Responsibilities:

1) Lead and Opportunity Support (CRM)

  • Capture qualify and load new leads into the CRM with complete and accurate information.

  • Maintain pipeline hygiene: update stages activities next steps close reasons and probability.

  • Support lead handover between Service Sales and Service Execution to ensure continuity.

  • Run standard CRM reports (pipeline lead aging activity tracking) and share weekly summaries with the team.

  • Schedule and log customer touchpoints follow-ups and internal actions in the CRM.

2) Quotation and Commercial Support (Excel-based)

  • Prepare quote packs using approved templates (scope summary pricing input sheets deliverables lead times assumptions).

  • Consolidate technical inputs from engineering/service execution into a commercial quote format.

  • Support internal approvals by compiling required information (costs margins vendor quotes logistics exclusions).

  • Maintain a quote tracker (RFQ date due date status value probability owner next action).

  • Ensure quote documentation is stored correctly and version-controlled per team process.

3) I-base and Master Data Administration

  • Use I-base to validate and update installed base information (customer sites equipment details serial numbers service history where available).

  • Link installed base information to CRM opportunities/leads to improve targeting and quote accuracy.

  • Support data cleansing initiatives: remove duplicates standardize naming conventions and close data gaps.

4) Cross-functional Coordination (Internal Stakeholders)

  • Liaise daily with Service Sales Service Execution Planning Parts Finance and Supply Chain to unblock tasks.

  • Request and consolidate supplier/subcontractor quotations and track responses.

  • Coordinate internal meetings and ensure actions are recorded and followed up.

  • Support campaign or regional initiatives (e.g. installed base drives service offers customer visit planning).

5) Customer and Admin Support

  • Assist with customer communication (meeting scheduling document sharing basic follow-ups) under supervision.

  • Manage shared inbox/admin items where applicable: RFQs NDAs purchase order documentation requests and customer onboarding forms.

  • Help prepare simple customer-ready documents: scope letters service reports pack compilation quote cover letters.

  • Keep folders trackers and registers up to date (quotes orders leads call reports).

6) Continuous Improvement

  • Identify repetitive admin tasks and suggest improvements (templates checklists trackers dashboards).

  • Support basic process documentation for how we do it in NPE Service (CRM steps quoting flow installed base updates).

  • Contribute to data quality and reporting improvements to help the team make faster decisions.

Key Deliverables / Success Measures:

  • CRM data accuracy and completeness (lead/opportunity fields consistently maintained).

  • Improved turnaround time on quotes through disciplined tracking and coordination.

  • Clean reliable installed base and linkage between I-base and CRM records.

  • Clear weekly pipeline and quote status reporting.

  • Professional admin support that reduces workload on service sales and execution teams.

Your Profile / Qualifications

  • Matric (Grade 12) completed.

  • Diploma or Degree (completed or in progress) in Business Engineering Supply Chain Finance or a related field (advantageous)

  • Proficiency in Microsoft Office: Excel Outlook and Word (PowerPoint advantageous).

  • Comfortable working in CRM systems (any CRM exposure advantageous).

  • Professional reliable and able to handle confidential commercial information.

  • Proactive improvement-minded and willing to learn technical/service concepts.

  • Strong attention to detail good admin discipline and ability to work with confidential information.

  • Clear written and verbal communication skills (email phone internal coordination).

  • Reliable organized and able to manage multiple tasks and deadlines.
