Description of the Role:
As a Service Coordinator serves as the primary liaison between customers and the service department. This role is responsible for providing exceptional customer service accurately assessing vehicle service needs coordinating repairs with technicians and ensuring a positive customer experience from check-in through vehicle delivery.
Customer Service & Communication
Greet customers promptly and professionally upon arrival
Listen to customer concerns and document vehicle service needs accurately
Explain recommended maintenance and repair services in a clear and transparent manner
Provide accurate estimates of cost and completion time
Maintain consistent communication with customers regarding service status and updates
Service Coordination
Open and close repair orders in the dealership management system (DMS)
Coordinate vehicle inspections and repairs with service technicians
Review completed work and ensure all services were performed correctly
Ensure warranty recall and maintenance services are processed properly
Schedule service appointments efficiently to maximize shop productivity
Sales & Upselling
Recommend preventative maintenance and additional services when appropriate
Meet or exceed individual and department sales and CSI goals
Educate customers on manufacturer-recommended services
Administrative & Compliance
Maintain accurate service records and repair documentation
Ensure all work orders comply with manufacturer and dealership policies
Follow all safety legal and dealership procedures
Maintain confidentiality of customer and dealership information
High school diploma or equivalent (required)
Previous automotive service advisor or related experience (preferred)
Strong customer service and interpersonal skills
Excellent verbal and written communication abilities
Ability to work in a fast-paced team-oriented environment
Basic computer skills and experience with dealership software (ADP/CDK/Reynolds preferred)
Valid drivers license with acceptable driving record
Ability to stand and walk for extended periods
Occasional lifting up to 25 lbs
Exposure to typical automotive service shop conditions
