Department Summary

A division of Student Services and Enrollment Management the Office of the Registrar is responsible for academic and classroom scheduling student registration enrollment verification grading and academic records maintenance transfer credit articulation degree audits monitoring undergraduate core education requirements degree awarding course evaluations student data/statistical analysis veterans benefits FERPA compliance and transcript services. These responsibilities assignments and services are completed within institutional policies and standards and related state and federal laws and regulations.

Position Summary

The Assistant Registrar for Academic Scheduling will oversee the areas of course section scheduling classroom scheduling and academic scheduling protocols. This position will supervise two staff members tasked with helping to facilitate the creation of each terms class schedule the accuracy of which is integral to student academic planning and success.

The Assistant Registrar will be responsible for the configuration of schedule-building software (CLSS) as well as classroom scheduling software (EMS) as it relates to academic scheduling. This position will facilitate the creation of the term schedule and the classroom assignment process including large classroom assignments and classroom optimization. Communication and collaboration across campus are fundamental to the work of this position as is the ability to be a creative problem solver.

This position will create manage and update procedures for academic scheduling. The incumbent will build run and analyze reports to optimize the schedule building process and the classroom scheduling process including forecasting classroom utilization needs.

The Assistant Registrar for Academic Scheduling reports to the Associate Registrar for Scheduling Curriculum and Catalog.

Minimum Requirements

Bachelors degree or equivalent experience.
Two years work experience in a higher education setting.
Supervisory experience including hiring training planning assigning and reviewing work.
Experience with large systems software and databases.
Experience preparing and presenting reports.

Professional Competencies

Proficiency with Word Excel PowerPoint and Outlook (or similar scheduling/calendar program) and familiarity with Microsoft Office applications.
Organizational problem-solving project management and time management skills.
Ability to manage difficult situations in a calm constructive and appropriate manner.
Ability to communicate with and work effectively with individuals from diverse backgrounds and cultures.

Preferred Qualifications

Experience building and running reports in an integrated software environment.
Experience with CLSS (CourseLeaf Section Scheduler) or similar academic schedule building software program.
Experience with EMS or similar classroom assignment/management software.
Experience with Ellucian Banner or other enterprise student information systems.
Experience with data reporting systems such as Cognos.
