About You: We are looking for an Administrative Assistant to support the Pre-Engineered Systems staff and processes.

Essential Functions:
- Assist walk-in customers.
- Answer all incoming calls and voicemails to the main office and direct them to the appropriate departments.
- For Mining Customers:
- Create daily work orders per the service coordinators workload and callout service requests.
- Scan inspection reports and prepare for billing.
- Maintain active and de-commissioned customer serviceable items lists.
- Set up and bill hydrotesting and parts deliveries.
- Update MSHA records.
- Daily update of monthly mine work order ledger.
- Invoice all mine customer invoices after review.
- Handle customer invoice/purchase order inquiries.
- Maintain customer required spreadsheets on active service pieces.
- Record and report monthly mind hour reports.
- Prepare and submit monthly safety reports.
- Renewal of customer agreements.
- Generate monthly work orders for all divisions.
- Check and disperse any unassigned work orders to correct technicians boards for all divisions.
- Assist with month-end and year-end closing for the Hibbing branch.
- Prepare office supply orders.
- Track and manage uniform inventory.
- Monitor and maintain ink levels and supplies for the copier and postage machine.
- Ensure cleanliness of bathroom kitchenette board room and front entry.
- Collect mail daily and FedEx/UPS deliveries for disbursement.
- Mail cash sales to the Minneapolis office and report to Accounts Receivable.
Qualifications/Skills:
- Proficient in MS Office
- Excellent verbal communication skills
- Highly organized
- Ability to multi-task in a fast-paced environment
- Experience answering a multi-line telephone system
- General understanding of office procedures and customer service
- Understanding of administrative clerical procedures and other systems such as word processing managing files and records
- Ability to operate a multi-function copier
- Ability to work with a high degree of accuracy
- Ability to keep information confidential when needed
Education/Experience:
- High School Diploma/GED
- 1-2 years of receptionist experience preferred
