Job Description:

The Administrative Assistant at Au Natural Organics will play a crucial role in ensuring the smooth and efficient operation of the office. The ideal candidate will be detail-oriented proactive and able to thrive in a fast-paced eco-conscious work environment.

Key Responsibilities:

  • General Administrative Support:
    • Manage and organize office documents both physical and digital.
    • Schedule and coordinate meetings appointments and events.
    • Maintain office supplies inventory and reorder when necessary.
    • Answer phone calls respond to emails and handle customer inquiries professionally.
  • Customer Service:
    • Provide excellent customer service through phone email and in-person interactions.
    • Assist customers with product information orders returns and exchanges.
    • Process orders and ensure timely shipping of products.
  • Inventory Management:
    • Track and manage inventory levels of organic care products.
    • Update and maintain product listings on e-commerce platforms (if applicable).
    • Coordinate with suppliers to ensure the availability of stock.
  • Data Entry & Reporting:
    • Maintain accurate records of sales inventory and office expenses.
    • Assist with preparing reports for management on product performance inventory status and customer feedback.
  • Office Coordination:
    • Ensure the office runs smoothly by assisting with day-to-day operations.
    • Organize and file important business documents contracts and invoices.
    • Support eco-friendly initiatives and sustainability practices within the office.
  • Communication & Collaboration:
    • Assist in creating and distributing internal communications and newsletters.
    • Coordinate with the marketing team to support promotional campaigns.
    • Liaise with clients vendors and partners as needed.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Previous experience in administrative roles preferably in a retail or eco-friendly environment.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and Google Workspace.
  • Ability to handle sensitive information with discretion and professionalism.
  • Attention to detail and a passion for sustainable organic products is highly valued.
  • Ability to work independently and as part of a team in a dynamic environment.
