Job Title: Document Processing & Eligibility Support Specialist
Position Summary The Document Processing & Eligibility Support Specialist is responsible for reviewing and processing documents and applications preparing eligibility documentation and ensuring accurate data entry and indexing into the FAA Document Management System (OnBase) and/or HEAPlus system. This role also involves managing returned mail sending notices updating system information and maintaining compliance with office unit and administrative guidelines. The position may require the use of translation services or support from bilingual staff.
Key Responsibilities - Review incoming documents and applications for accuracy and completeness.
- Prepare eligibility documents and ensure proper barcoding scanning indexing and uploading into OnBase and/or HEAPlus systems.
- Validate that all documents are correctly scanned and indexed to the appropriate eligibility type.
- Send required notices and/or emails to applicants and customers.
- Update and correct address information within the system as needed.
- Process document scan and validate returned mail.
- Sort prep research and route returned mail to the appropriate personnel.
- Follow all administrative procedures and office/unit guidelines.
- Utilize translation services or bilingual staff when necessary.
- Maintain confidentiality and accuracy in handling sensitive documents and data.
Required Skills - Strong listening oral and written communication skills.
- Ability to establish and maintain effective working relationships.
- Effective time management and organizational skills.
- Ability to adapt to changing environments and new technologies.
- Skilled in multitasking and prioritizing workload.
- Ability to compile data and complete reports accurately and on time.
Preferred Experience - Proficiency with computer software including Microsoft Word Excel and Google Workspace.
- Familiarity with general office practices and procedures.
- Experience operating terminal/computer systems to input data and review case records.
- Prior experience with document management systems such as OnBase is a plus.
- Experience with HEAPlus or similar eligibility verification systems preferred.
