The NYC Department of Environmental Protection (DEP) enriches the environment and protects public health for all New Yorkers by providing 1.1 billion gallons of high-quality drinking water managing wastewater and storm water and reducing air noise and hazardous materials pollution. DEP is the largest combined municipal water and wastewater utility in the country with nearly 6000 employees. DEPs water supply system is comprised of 19 reservoirs and 3 controlled lakes throughout the systems 2000 square mile watershed that extends 125 miles north and west of the City.

The Bureau of Engineering Design & Construction (BEDC) currently has a portfolio of capital projects valued at $35B and another $13.6B projected over the next 10-year commitment plan. The projects BEDC implements allows DEP as a whole to continue to operate and maintain an exemplary water supply system.

BEDC In-House Design (IHD) directorate provides design and engineering services to meet operations needs in a manner consistent with BEDCs core values of safety schedule quality and customer service. IHD supports projects from the business case through preliminary design design procurement construction and finally with the turnover to operations. The directorate includes two divisions: Design Services and Engineering Services.

IHDs Engineering Services includes the Quality Assurance Laboratory Services Specifications/Standard Operating Procedures Sustainability and BIM/CADD sections. The Engineering Services division focuses on projects sustainability resiliency laboratory material testing quality reviews and inspections standardization of documents project delivery standards and uses current BIM/CADD technology to streamline engineering design processes.

IHDs Design Services includes Architectural Site Civil Structural Process Mechanical/HVAC Water Tunnel Mechanical Systems and Electrical discipline sections. Each design section prepares design and construction documents including engineering plans and specifications for the construction of water supply sewer and wastewater treatment infrastructure. They also provide design services during construction. IHD projects are typically of the highest priority for the Agency. The projects worked on are some of the largest public works contracts administered by the City. They are vital to the health and welfare of the citizens of New York and allow the designers to leave a lasting legacy by creating facilities that will be utilized for generations to come.

BEDC seeks to hire a Technical Assistant for the In-House Design Directorate located in our Lefrak office in Queens NY. Under the direction of the Executive Director of IHD with wide latitude for the exercise of independent initiative and judgment the selected candidate will perform all necessary administrative functions required for the IHD this capacity the candidate will be responsible for maintaining the Executive Directors daily schedule and scheduling meetings and conference rooms. They will be responsible for performing duties of a technical assistant by working with the various IHD staff to modify word documents such as contract specifications to appropriate formats preparing spreadsheets for managing data distributing work assignments to appropriate sections through the e-builder system and tracking responses as well as tracking incoming and outgoing correspondence and telephone inquiries. Work will also include preparing travel request and other routine memoranda and miscellaneous support functions for the sections within the directorate. The selected candidate will serve as a point of contact for the directorate on communicating news updates or general information disseminating of supplies for the unit. They will keep the IHD managers informed of any issues that may require attention and provide any status reports or help to research information as required by the Executive Director. The Technical Assistant will also be required to assist with any special projects assigned to the unit which may include data entry or data validation tasks. The selected candidate will also use databases to track and input data requested. Additional tasks will include keeping reports on projects and personnel emergency contact information as well as personnel based and project based organizational charts. Other reports generated will consist of monthly and quarterly reports which are needed to be reviewed and sent out in a timely manner. They will also need to assist in the preparation of presentations as needed.

Typical tasks will include:

-Attend various department meetings prepare agendas take and transcribe minutes as needed.

-Help prepare for and follow up on critical meetings (e.g. meetings with the Deputy Commissioner collaborating meetings on critical projects etc.).

-Complete designated tasks in a timely and accurate manner.

-Prepare charts and files as needed.

-Assist all IHD staff on administrative needs as requested.

-Assist system administrators with daily tasks such as data entry and troubleshooting basic issues.

-Collaborate with Bureau administrative and technical staff to ensure prompt and accurate handling of correspondences.

-Assist with moving process workflows in the ePMIS system.

-Assist IHD Executive Director as needed

Qualifications :

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or
3. A four-year high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above;
4. Education and/or experience equivalent to 1 2 or 3 above. However all candidates must possess the one year of administrative or supervisory experience as described in 1 above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in 1 above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
