General Summary
Responsible to support the Chief of Staff in strategic outreach and counsel to the Board of Directors for the University of Maryland Medical Center (UMMC). Will also oversee office operations for the CEO. Drafts communications oversees the planning and execution of events and provides strategic operational and administrative support for the CEO office the Board its leadership and Committees.
Principle Responsibilities and Tasks The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.
1. Manage planning and operation of UMMC Board meetings including Foundation Board meetings and some UMMC committees along with Board activities and events. Will attend Board meetings as well as participate in strategic planning of board activities.
2. Draft presentations reports communications letters and reviews for the Chief of Staff Chair of the Board and other Directors
3. Direct the preparation of Board correspondence and communications. Oversee the creation and maintenance of Board directories and website content board manuals and training/orientation materials utilizing internal resources or in conjunction with vendors. Assist the UMMC Executive Team and Board in preparing presentations regarding initiatives and manage communication of those initiatives internally and externally. Coordinate and manage special projects at the direction of the Chief of Staff.
4. Oversee the logistical support for Board meetings. Schedule and host meetings and review the preparation of meeting notices agendas minutes handouts etc. Manage telephonic and web support for offsite participants as required. Manage the maintenance of the Board calendar including coordination of meeting scheduling online Board Books communications recording keeping and documentation including minutes and pre-read packages.
5. Provide oversight and counsel to coordinate all activities within the CEO office including communications to Administrative Staff and Executive team.
6. Coordinate and manage meetings on behalf of the CEO with UMMC donors.
7. Other duties as assigned to support the CEO and Chief of Staff.
Qualifications :
Education and Experience
- Bachelors degree in a business administration communications legal or related work experience
- Five or more years of Business Management experience required
- Board liaison experience preferred
Knowledge Skills and Abilities
- Advanced oral and written communication skills and report preparation and presentation skills of board communications.
- Possess strong leadership organizational interpersonal time management problem solving and multi-tasking skills.
- Maintain a high standard of confidentiality. Attention to detail resourcefulness flexibility; decision-making skills needed in high-pressure situations; time management skills; self-starter.
- Must be at an advanced professional level user of MS Office including Word Excel PowerPoint and Outlook.
