Job Summary

POSITION: PurchasingSpecialist

LOCATION:District Office

REPORTS TO:Business ServicesManager

JOB GOAL:

  • To assist theBusiness Services Managerin maintaining reliable and accurate data and files for effective and efficient purchasing throughout the district.

  • High School Diploma or GED
  • Experience with various Office software such as Word and Excel
  • Effective organizational skills

  • Ability to work with staff teachers students and parents at various educational levels
  • Ability to work in a team atmosphere
  • Ability to use constructive techniques to resolve issues
  • Proficient communicator with excellent interpersonal skills in dealing with all levels of district staff and with a diverse community
  • Ability to work independently

RESPONSIBILITIES:

Responsibilities and duties may include but are not limited to the following:

  • Contacts and confers with vendors to obtain product or service. information such as price availability and delivery schedule.
  • Obtains quotations as required.
  • Inputs and/or approved requisition into financial system.
  • Issues approved purchase order to vendors requestors & warehouse.
  • Creates and utilizes computer printouts and prepares reports.
  • Maintains procurement records such asvendor regristrationsW-9s cooperative contract due dilligence and written determinations.
  • Assists with fiscalphysical inventory per USFR guidelines.
  • Provides information to auditor as required.
  • Prepares Formal Sealed Bids.
  • Prepare a report for Board approval on bids.
  • Acts as District liaison between vendors and District.
  • Verifies that all bidding guidelines are followed.
  • Works with staff to insure all USFR guidelines are followed.
  • Assists with payables when needed.

TERMS OF EMPLOYMENT:

  • 12-month contract Hourly position under FLSA. Placement on Classified salary schedule by the Director of Human Resources dependent upon education and experience
  • Benefits All approved benefits for Classified Employees
  • Must pass Department ofPublic Safety Fingerprint clearance check.
  • Must beUnited Statescitizen or have valid work visa at date of hire with the ability to maintain. All changes in visa status must be reported to Human Resources immediately. Photo identification and work visa (if necessary) will be needed for fingerprint clearance card and I-9 documentation prior to first day of work.

EVALUATION:

  • Performance of this position will be evaluated in accordance with provisions of the Boards policy on Evaluation of ClassifiedPersonnel.

REQUIRED DOCUMENTATION:

  • Proof of Mumps Measles and Rubella (MMR) vaccination.
  • Valid government issued identificationor current work visa with expiration date.
  • Unofficial copies of transcripts will be accepted with applicationsofficial transcripts will be due upon job offer*

*Transcriptsissuedin alanguageotherthan Englishmustbeaccompaniedby a fulltranslation (wordforword)byanacceptable translator. Additionallyeachforeigntranscriptmustbeevaluated forequivalencyto United Statesaccreditedcourseworkbyanacceptableagencysuchasthoseagenciescertifiedbythe National Associationof Credential Evaluation Services (NACES).Applicationscontaining foreign transcripts thatare notaccompaniedwith theabove required documentationwill notbeconsidered.
