Job Description:
The Front Desk Receptionist / Administrative Support (Backup) serves as the first point of contact for the Atlanta Regional Commission (ARC) and plays a critical role in representing the organization in a professional welcoming and service-oriented manner. This temporary position (29 hours per week) is responsible for managing front desk operations while also providing backup executive-level administrative support as needed.
The ideal candidate should be timely polished outgoing self-directed and able to manage multiple priorities with professionalism and discretion.
This temporary position is not eligible for benefits; working up to 29 hours per week.And the payrate for this position is $32.00 per hour.
Essential Duties and Responsibilities:
Front Desk & Office Support
- Serve as the primary receptionist for ARC greeting visitors staff and guests in a courteous professional and welcoming manner.
- Answer and route incoming calls promptly and professionally; respond to general inquiries or direct them appropriately.
- Manage visitor check-in procedures including issuing badges and notifying staff of guest arrivals.
- Maintain the reception area to ensure a clean organized and professional appearance at all times.
- Receive sort and distribute incoming mail packages and deliveries; coordinate outgoing mail and courier services.
- Monitor and replenish front office supplies and coordinate with Office Operations on ordering needs.
- Support general office operations including conference room coordination and basic scheduling support.
Executive Administrative Support (Backup)
- Provide backup administrative support to the Executive Director & CEO as needed.
- Assist with calendar management meeting coordination and logistics for executive meetings.
- Prepare format and proofread correspondence reports presentations and meeting materials.
- Support meeting preparation including agenda distribution materials assembly and follow-up documentation.
- Handle sensitive and confidential information with discretion and professionalism.
Customer Service & Organizational Representation
- Represent ARC with a high level of professionalism in all interactions with internal and external stakeholders.
- Demonstrate a proactive solutions-oriented approach to assisting staff leadership and visitors.
- Anticipate needs identify issues and take initiative to resolve routine matters independently.
Minimum Qualifications:
- High school diploma or equivalent required; associate degree or relevant coursework preferred.
- 3 years of experience or a combination of education and experience.
- Demonstrated experience providing administrative or executive support or serving as a backup in such a role.
- Proficiency in Microsoft Office (Outlook Word Excel PowerPoint) and general office technology.
Preferred Qualifications:
- Experience supporting senior leadership or executives in a professional office environment.
- Familiarity with public sector nonprofit or intergovernmental organizations.
- Experience managing competing priorities in a fast-paced professional setting.

Working Conditions:
- This is a temporary position. An 8:30AM start time is required - working no more than 29 hours per week.
- In-office presence is mandatory Monday through Thursday each week.
- The role is based in a professional office environment and requires consistent on-site coverage of the front desk during scheduled hours.
- Occasional flexibility in hours may be required to support meetings or executive needs.
