Role Overview
The Intake Specialist is the first point of contact for prospective new clients (PNCs). This role is responsible for answering inbound calls responding to missed calls and inquiries gathering critical information qualifying prospects and guiding appropriate clients to the next step in the firms process.
This is not a receptionist role. This is a client-facing conversation-driven position that directly impacts client experience firm efficiency and firm growth. Intake Specialists do not provide legal advice or pressure callers and follow a structured intake methodology focused on clarity empathy professionalism and accuracy.

CRM & Documentation
Adherence to Firm Systems & Training
Requirements
Strong verbal communication skills
Ability to control conversations without sounding scripted
Active listening and emotional awareness
High attention to detail and accuracy
Ability to remain calm with emotional or stressed callers
Comfortable following structured processes
At least 2 years of prior intake customer service or phone-based experience
Law firm experience preferred but not required
Sales experience is a bonus
Technical Requirements
Comfortable using CRM systems
Ability to type and take notes while speaking
Reliable internet connection and quiet work environment
