- Work Environment: CivicActions work is a hybrid workplace that combines both in-office and remote work. CivicActions physical offices are in downtown Toronto and technology will be provided to support both in-office and remote work. This position may involve some evening and weekend work.
Position Purpose
The Director Corporate Operations is a senior operational leader who ensures CivicActions internal systems people supports and administrative functions run smoothly and effectively. Reporting to the CEO this role oversees finance and administration people and culture governance support digital systems and organizational policy and compliance.
This role is ideal for a leader who thrives in improving processes supporting staff and building strong operational foundations in a small collaborative non-profit environment (20 staff).
Key Accountabilities:
1. Organizational Operations & Systems
- Manage day-to-day operations to keep internal systems running smoothly and efficiently.
- Create document and update organizational policies procedures and workflows.
- Handle contract administration vendor coordination insurance and general administrative processes.
- Track and support organizational plans and operational work-back schedules.
- Implement operational changes and roll out new tools or processes.
- Identify and address operational gaps promoting practical continuous improvements in service delivery.
2. Finance & Administration (Working in partnership with external finance providers and CEO)
- Lead annual budgeting and forecasting processes.
- Monitor financial performance cash flow and variance reporting.
- Oversee grant budgets and funder financial reporting.
- Maintain strong financial controls and documentation.
- Support annual audit preparation and CRA charitable filings.
3. People & Culture (Human Resources)
- Oversee recruitment onboarding performance management and professional development processes.
- Maintain HR policies and procedures aligned with employment legislation.
- Administer employee benefits plans.
- Support leadership and staff through employee relations guidance.
4. Governance Support & Compliance
- Support the CEO and Board with meeting preparation and reporting.
- Liaise with legal partners to support compliance with nonprofit and charity requirements.
- Ensure appropriate insurance coverage and claims processes.
5. Technology & Digital Infrastructure
- Oversee CRM HRIS and digital workplace tools to support organizational efficiency.
- Manage relationships with IT service providers.
- Ensure cybersecurity practices and data security protocols are in place.
- Lead implementation of new tools or system improvements.
- Oversee privacy compliance confidentiality procedures and information management.
Qualifications and Skills
Required Education Certification and Experience:
- 710 years of progressive experience in operations administration HR finance or organizational management ideally within a non-profit or charitable environment.
- Experience managing financial processes including budgeting forecasting grant reporting variance monitoring and working with finance professionals or auditors.
- Experience in HR leadership including recruitment onboarding performance processes staff relations and developing or maintaining HR policies.
- Experience supporting or working closely with a Board of Directors or non-profit Committee.
- Knowledge of Canadian non-profit regulatory and compliance requirements including CRA charitable reporting.
- Experience leading policy development organizational systems or process improvement initiatives.
- Experience managing vendors and external service providers (e.g. finance HR IT insurance benefits).
- Experience working in a hybrid collaborative multi-project team environment.

- Experience with risk management privacy or information-security policies.
- Comfort learning and using digital tools including CRMs HR information systems and collaboration platforms.
- Lived experience that supports inclusive leadership and understanding barriers faced by equity-seeking communities (an asset).
- Knowledge of civic social and economic issues facing the GTHA (an asset).
