POSITION SUMMARY: The Project Manager is responsible for leading the day-to-day execution of client projects from initiation through delivery ensuring projects are scoped accurately resourced effectively and delivered on time on budget and at the highest quality. This role is critical in managing the intersection of creative ideas strategic planning and operational realities. This role partners closely with account management creative production and strategy teams to ensure seamless alignment and execution.
KEY RESPONSIBILITIES
Scope of Work Development & Planning
- Collaborate with the Account Strategy department to define project scopes deliverables timelines and dependencies.
- Lead the creation of detailed project plans and schedules aligned with client goals and agency capacity.
- Ensure scope is clearly documented communicated and updated throughout the project lifecycle.
- Track scope changes and manage the change order process when adjustments arise.
Budget Management
- Own the day-to-day tracking of project budgets project pacing estimates and resource allocations.
- Collaborate with the finance and account teams to ensure accurate billing forecasting and margin management.
- Proactively identify budget risks and recommend solutions to maintain financial health of projects.
- Ensure time tracking compliance and reconcile actuals vs. planned hours.
Resource Planning & Coordination
- Partnering with the other department leads to assigning talent appropriately across projects.
- Monitor team bandwidth timelines and capacityproactively addressing conflicts or bottlenecks.
- Maintain weekly resourcing schedules and ensure clear communication of assignments and expectations.
- Help forecast upcoming needs based on pipeline visibility and scope planning.
Project Execution & Delivery
- Lead internal kickoffs internal milestone check-ins and internal status meetings with a focus on clarity and accountability. Document key decisions next steps and outcomes from meetings ensuring they are uploaded into the project management system for full team visibility.
- Maintain accurate project documentation and ensure transparency across teams.
- Anticipate obstacles manage risks and drive problem-solving to keep momentum strong.
- Ensure deliverables meet both agency standards and client expectations on time and on budget.
Requirements
- 36 years of project management experience in a creative content or production environment (agency or studio preferred).
- Strong financial and operational acumen with experience managing complex production budgets.
- Skilled in developing and managing scopes schedules and resourcing for content production projects.
- Exceptional organizational communication and collaboration skills across creative and production teams.
- Calm under pressure solution-oriented and a team player with a passion for content creation.
- Proficiency with project management tools (Workamajig Asana Trello Smartsheet or similar).
Travel Requirements: This position may require occasional travel (approx. 15%) for on-site client meetings productions and occasional shoots. All travel expenses will be covered per company policy with advance notice provided.
