The Account Coordinator plays a critical support role within the Sales organization acting as a key liaison between customers field personnel sales and internal operations. This role is responsible for coordinating the full order lifecycle supporting sales initiatives maintaining customer relationships and ensuring accurate timely execution of orders and invoicing. The ideal candidate is high-energy detail-oriented customer-focused and thrives in a fast-paced performance-driven environment.
Responsibilities:
Order & Account Management
- Receive enter and manage customer orders through the Monday Job Board and internal systems.
- Own the end-to-end order process from order creation through delivery documentation and record maintenance.
- Review open customer order reports and proactively address open items or potential delivery risks.
- Track invoice submission approval and payment status; assist with signature collection as needed.
- Proactively manage Accounts Receivable (A/R) and Accounts Payable (A/P) coordination with customers vendors and OTS Accounting.
Customer & Field Support
- Maintain strong relationships with customers and field personnel including face-to-face interaction.
- Respond to customer inquiries provide accurate quotes and process orders efficiently.
- Coordinate closely with field services and operations teams to meet customer requirements.
- Travel to customer field locations and other sites as required.
Sales Support & Business Development
- Collaborate with the Sales Team and Sales Manager to support sales efforts in Williston and the greater Rockies region.
- Assist in the development and execution of creative sales strategies to achieve quarterly targets.
- Collect and analyze market data to help identify and quantify the Total Available Market (TAM) by product.
- Support outside sales representatives by providing timely information reporting and administrative assistance.
- Utilize CRM software to track leads customer activity and sales initiatives.
Process Improvement & Collaboration
- Develop a strong understanding of the companys product offerings and value propositions.
- Contribute to the improvement of customer success processes tools and workflows.
- Support sales and operational teams with administrative tasks as needed.
- Perform other duties as assigned by direct supervisor.
Qualifications:
- 35 years of experience in an office or sales support environment; Oil & Gas industry experience preferred.
- Experience working in a performance-driven or sales-oriented culture is a plus.
- Strong sales aptitude customer service mindset and business development orientation.
- Excellent verbal and written communication skills.
- Highly organized with the ability to prioritize multitask and manage time effectively.
- Exceptional attention to detail and ability to think critically through order or account issues.
- Strong interpersonal skills with the ability to build and maintain positive relationships with customers and coworkers.
- Ability to work independently with general supervision and take initiative to solve problems.
- Proficiency in Microsoft Office Suite and CRM software.
- High-energy positive assertive and service-oriented attitude.
- Professional flexible and adaptable in a fast-changing environment.
- Self-motivated outgoing and willing to receive direction and feedback.
Physical Demands and Work Environment
Physical Demands: This job is a mostly sedentary role; however moderate physical activity is occasionally required to stand walk sit reach carry pull lift or otherwise move objects up to 50 pounds. Employees are required to have specific vision abilities which include close and distant vision peripheral vision color vision depth perception and the ability to adjust focus. Employees are also required to talk and listen.
Work Environment: This job operates in a professional office/field/shop environment. The noise level is moderate and in a well-lit area. This role routinely uses standard office equipment such as computers phones printers photocopiers and filing cabinets.
