Shift Timings: M-F: 8-5
Note: Working Conditions: On site office-based. Light travel may be required. May require occasional overtime to meet project deadline. Reports To: Project Manager/Program Manager.
Summary of Job:
The Project Administrator/Assistant provides administrative and coordination support to project teams to ensure projects are well resourced and delivered on time within scope and within budget. This role supports project managers with scheduling documentation onboarding coordination reporting and communication throughout the project lifecycle while maintaining organized records and supporting project compliance and administrative processes.
Must-have/Required skills:
- Diploma or Bachelors degree in Business Administration Project Management Behavioral Psychology or a related field
- Proven experience in an administrative or project support role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
- Ability to multitask and manage competing priorities
- Ability to work independently and collaboratively within a team
- Strong interpersonal and collaboration skills
- Ability to handle confidential information with professionalism
Nice-to-have Skills:
- Familiarity with project management tools such as MS Project Asana Jira or similar
- Experience supporting procurement vendor coordination or project budgeting
- Familiarity with basic accounting or HR administrative tasks
- Customer service experience
- Certification in Project Management (PMP CAPM PRINCE2 PMC)
- Experience working in engineering construction or corporate project environments
- Knowledge of budget tracking and financial reporting processes
- Experience with office management software and databases
Key Responsibilities and Duties:
- Provide administrative support to Project Managers and project teams
- Support internal departments with general administrative tasks
- Assist with project scheduling resource coordination and task tracking
- Schedule meetings interviews and appointments while managing project calendars
- Coordinate interview schedules and communication with recruiting teams
- Perform data entry record keeping and database management
- Coordinate project meetings prepare agendas take meeting minutes and track action items
- Prepare and maintain project documentation and presentations including plans schedules reports and contracts
- Monitor project timelines and identify potential risks or delays
- Communicate project updates to stakeholders as needed
- Support compliance with company policies procedures and project standards
- Assist with procurement processes and vendor coordination
- Support budget tracking invoicing and expense reporting
- Maintain organized project filing systems and document version control
- Handle confidential project and personnel information with discretion
- Perform additional administrative and project support tasks as assigned
