The Coordinator of Executive Services serves as the primary manager of Executive Services providing high-level administrative leadership project management and operational oversight in support of the Universitys executive leadership.
This role is central to the daily functioning of Executive Services ensuring clear communication professional hospitality careful coordination and exceptional discretion. The coordinator works closely with the President Executive Vice President Chief of Staff and colleagues across the University to steward schedules communications budgets and personnel in a manner that reflects the University of Marys mission and Benedictine values.
The ideal candidate brings strong organizational judgment calm leadership and a deep commitment to service confidentiality and excellence.

Essential Roles and Responsibilities Include:
Interacts and engages with all members of the university community and visitors in a welcoming friendly and professional manner that reflects Benedictine hospitality
Fosters an environment of open and continuous communication within Executive Services while maintaining strict confidentiality and professional discretion regarding the Universitys operations
Proactively manages the Presidents and EVPs schedule appointments and travel; electronically maintains the professional and personal calendars of the President and EVP
Coordinates all business communications for Executive Services of the University including telephone and e-mail communications for the President and EVP
Conducts research and gathers background information for the President EVP and Chief of Staff in preparation for meetings and upcoming events
Supervises the Communications and Hospitality Specialist the Executive Support Specialist and student workers.
Serves as budget manager for Executive Services of the University overseeing and/or coordinating purchases requisitions invoices reimbursements etc.; acts as liaison of Executive Services to the Universitys Business Office
Monitors the Hiring for Mission Process for the Presidents Office to include providing timely hiring responses to both the Office of Human Resources and hiring managers of the University
Acts as liaison to the Universitys travel vendor(s)
Coordinates supplemental administrative support for the Office of Public Affairs as needed
Desired Minimum Qualifications Education and Experience Include:
Required: Bachelors degree
Preferred: Masters degree
Required: Minimum of three to five years of executive or senior-level administrative support experience.
Upholds and supports the Christian Catholic and Benedictine mission of the University of Mary.
Supports the ongoing implementation of Ex Corde Ecclesiae the apostolic constitution on Catholic colleges and universities.
Builds a culture of ready and earnest hospitality throughout Executive Services and the broader University in accord with Saint Benedicts admonition that all be received as Christ.
Knowledge and Skills Required:
Exceptional verbal and written communication skills.
Strong organizational skills with a high level of attention to detail.
Proven ability to manage multiple priorities and projects in a fast-paced environment.
Ability to work independently and collaboratively with executive leadership and campus partners.
Demonstrated discretion and ability to maintain strict confidentiality.
Proficiency with Microsoft Office applications and standard administrative technologies.
Ability to contribute to the professional tone of Executive Services through dress demeanor and communication.
