Job Summary

Title: Executive Operations Manager
Location: Boston MA 02109 (4 days Onsite1 day Remote)
Duration: Full-Time/Direct Hire/Permanent
MINIMUM QUALIFICATIONS (KNOWLEDGE SKILLS AND ABILITIES)
Associate degree or an equivalent combination of professional and academic experience.
5 years of executive-level administrative experience preferably within a banking association or professional services environment.
Proven track record of supporting a positive proactive; high-energy professional environment; a self-starter who always seeks process improvement.
Strong verbal communication skills enabling effective interaction with directors senior executives members regulatory representatives media and community partners.
Advanced written communication skills including the ability to record complex meeting minutes draft executive-level correspondence and assemble presentation materials accurately and efficiently.
Extremely organized with the ability to prioritize multiple responsibilities and projects simultaneously with minimal supervision.
Demonstrated facility with data and the ability to translate information into clear professional reports and presentations.
Knowledge of Board of Directors and Corporate Secretary functions.
Advanced computing skills including proficiency with Microsoft Office applications and experience using CRM and database systems.
Proven ability to handle highly confidential and sensitive information with discretion and professionalism.
POSITION SUMMARY
Executive Operations Manager serves as the primary administrative resource for the President and CEO; functions as Clerk of the Corporation for the Massachusetts Bankers Association and is responsible for oversight of all office operations.
This role provides high-level executive administrative support including calendar management correspondence expense reporting and coordination of meetings and events.
In addition this position provides general office operations oversight to ensure the efficient professional and well-organized day-to-day functioning of the Associations office environment.
The Executive Operations Manager plays a critical role in supporting leadership effectiveness organizational operations and a positive employee experience.
Office Operations Responsibilities:
Provides coordination and oversight for general office operations to ensure a professional efficient and functional office environment.
Coordinates office-related needs including supplies equipment vendors and facilities-related requests; serves as a point of contact with building management and external service providers as needed.
Supports onboarding and offboarding logistics for staff including workspace setup office access equipment coordination and orientation support in collaboration with the Senior Vice President Chief of Staff.
Maintains shared office calendars conference room scheduling and meeting space readiness.
Supports planning and logistics for internal staff meetings all-staff gatherings and internal events.
Assists with the development maintenance and communication of office-related policies procedures and documentation to support consistent operations and a positive employee experience.
Coordinates office-wide communications notices and logistical updates as directed.
Performs other duties and special projects as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serves as the primary administrative support resource for the President and CEO including drafting editing and assembling correspondence; maintaining the executives calendar; booking travel arrangements; and preparing and assembling meeting agendas and materials.
Receives and screens incoming telephone calls for the President and CEO; relays messages or refers inquiries as appropriate. Opens screens and directs or responds to USPS mail and email correspondence.
Establishes and maintains files for the President and CEO ensuring confidentiality integrity and compliance with document retention policies. Retrieves files and purges records as necessary.
Functions as the primary point of contact for internal and external parties interacting with the President and CEO. Troubleshoots matters brought to the Presidents attention; resolves or refers issues as appropriate; and optimizes utilization of executive time.
Serves as liaison between the President and CEO and the Board of Directors and supports the Senior Vice President/Chief of Staff in board matters.
Coordinates meetings and events including Board of Directors meetings Board sub-committee meetings strategic planning sessions and member meetings.
Serves as Clerk of the Massachusetts Bankers Association. Records minutes for Board of Directors Board sub-committees Foundations and GIT Trustee meetings as required and maintains official corporate records.

Serves as the primary resource for assembling and publishing Board of Directors meeting materials to the Board portal.
