Role overview
We are looking for an experienced and highly organised Executive Assistant to join our team and support the three Partners of Newmedica Suffolk. This will be working 8 hour shifts over 5 days from Monday - Friday including evenings and weekends when needed.
The Executive Assistant will be responsible for managing diaries coordinating meetings arranging travel and they will coordinate the smooth running of our Partners schedules. They will also provide medical secretary support including typing patient letters and handling private correspondence while maintaining the highest standards of discretion and utmost professionalism.
The ideal candidate will have proven Personal Assistant and/or Medical Secretary experience will be proficient in IT (including Microsoft Office applications - Word Excel Outlook etc.) and they will have a strong organisational ability. Minute-taking and audio typing experience are essential and knowledge of medical terminology is desirable.
Essential:
- GCSEs (or equivalent) in English and Maths
- Evidence of further education or professional development relevant to administration or secretarial work
- Experience managing complex diaries and coordinating meetings
- Experience handling confidential information with discretion
- Previous experience in a fast-paced environment with competing priorities
- Ability to communicate effectively and professionally at all levels
- High attention to detail and accuracy in all tasks
- Ability to work independently and use initiative
- Strong time-management skills and ability to meet deadlines
- Effective problem-solving and decision-making skills
Desirable:
- Secretarial or administrative qualification
- Previous experience in a healthcare or clinical setting
- Experience coordinating events or CPD sessions
- Familiarity with clinical correspondence and patient communication
