Purpose:
Executive Assistant to VP Market Access Oncology
Reporting to the Vice President Market Access Oncology we are seeking a highly adaptable organized and communicative individual who upholds the utmost professionalism confidentiality and discretion. You will independently resolve complex issues build strong stakeholder relationships and contribute to a collaborative culture.
Provide advanced administrative support including complex calendar management senior-level meeting scheduling logistics coordination and diligent follow-up on action items and deadlines.
Coordinate department operations and governance manage calendars and act as liaison with HR IT facilities finance and compliance.
Support governance processes through efficient approvals and document routing.
Assist with financial and administrative tasks such as purchase order creation/tracking vendor onboarding budget management and contract processing.
Proactively manage in-person meetingsvenue selection catering resource allocation and payment handlingwhile anticipating and resolving challenges.
Enable clear communication by formatting and distributing internal updates maintaining SharePoint/Teams sites and sharing leadership communications and meeting summaries.
What you willbe responsible for:
Expectation of Support

Dedicated support to VP and shared priority support to Sr Directors
Complex calendar management
Scheduling of Sr level meetings (LT cross-functional external)
Meeting logistics (room VC agendas pre-reads)
Minutes Follow-up on action items and deadlines from leadership meetings
Department Operations & Governance Support
Coordination of recurrent department forums: Townhalls LT meetings All-hands meetings team meetings
Maintenance of department calendars and milestone timelines
Liaison with HR IT facilities finance and compliance with routine requests
Support Governance processes (approvals documentation routing archiving)
Support visitor check-ins (if J&J location)
Financial & administrative Coordination
Transactional and coordination support:
Specific and limited purchase order creation and tracking (as needed) including invoice submission and FUP (where PO owner)
Vendor onboarding coordination
Budget tracking support
Contract routing and signature coordination
Meeting Management
(Face to face) in office or offsite
Proactive end-to-end management of larger meetings 8
Venue and/or Room identification
Food & Beverage (internal or external vender)
Resources Required (flip charts pens etc.)
Manage payments
Proactive Problem solving of key issues related to the above
Minutes Follow-up on action items and deadlines from meetings (as needed)
Communication & Information Management
Enable clarity and flow of information:
Formatting and distribution of internal communications
Maintenance of department SharePoint/Teams sites
Distribution of leadership updates and meeting summaries
Support preparation of org announcements and internal newsletters
Team enablement & Culture Support
Support Sr leaders in enhance team morale engagement and overall effectiveness
Coordination of onboarding activities
Support team recognition initiatives
Organize team events
Maintain org charts and distribution lists
Expense Reporting
Completing expense reports from receipts submitted/shared for Sr Directors & VP
Receipts sent to admin via Concur app or photo emailed.
Proactively solving any issues/flags E.g. using information from calendar to match attendees to events following up on missing receipts if possible (e.g. Verizon hotels etc.) etc.
Travel Management for Sr Directors & VP
Booking flights & accommodation and transfers for travel either through congress registration or through concur regardless of visa required or not
Provide suggestions on best places to stay or airports to travel to relative to meeting location
Support when necessary on visa applications
Technical Support
Support when necessary on visa applications
Interviews & Onboarding
Support the interview process by scheduling interviews with candidates including internal interview panel
Support staff on-boarding or off-boarding as needed
Administrative and technology support (WWID laptop etc.)
Ordering Resources
