Job Summary

The Finance Department with Muscatine Schools is hiring for an Administrative Services Data Entry position to support the department 12 months/year 6 hours/ this position the Admin. Services employee will contribute to the smooth flow of information and data throughout the department. See below for more on the duties and responsibilities of this Administrative Services position. This position is a year-round position scheduled for 6 hours/day with an approximate schedule of 8:30am - 3:00pm with a 30-minute unpaid lunch (May occasionally work eight (8) hours when receptionist is absent whole days). The starting wage for this position is $19.11/hour. Bilingual preferred or highly desired.

JOB REQUIREMENTS ANALYSIS

POSITION TITLE: Part Time Finance Data Entry Administrative Services

EMPLOYEE UNIT: Clerical/Secretarial/Aide/Paraeducator

FUNCTIONAL AREA: Finance / Board Office

REPORTS TO: Director of Finance/Accounting Supervisor

STATUS: Part-Time Non-Exempt: 6 hours/day 12-month (261 days)

NORMAL WORK DAY / HOURS:

Varies; Generally 8:30 a.m. to 3 p.m. with half-hour unpaid lunch; may occasionally work eight (8) hours when receptionist is absent whole days

OBJECTIVE:

To contribute to the smooth flow of information and data; courteously and efficiently handling inquiries and processing requests for information or appointments in a confidential manner as well as being a welcoming and positive member of the Finance and Board Office team.

MAJOR DUTIES:

  • Operates computer multi-line phone systems and postage machine
  • Uses independent judgment in carrying out the administrative procedures and paperwork for Director of Finance or Accounting Supervisor
  • Reviews vendors and invoices for appropriate documentation prior to payment.
  • Calls vendors to collect appropriate documentation
  • Tracks processes and records payments to vendors in an accurate and timely manner
  • Maintains accounts receivable records by invoicing vendors and processing payments in a timely manner.
  • Maintains fixed asset database
  • Greets customers determine their needs check for appointments and direct them to the appropriate person
  • Accepts and processes student payments using the Districts payment system.
  • Processes out-going mail.
  • Receives and sorts all Administrative Center office mail from the post office and interoffice mail
  • Filing
  • Back-up to Welcome Center Receptionist
  • Performs other duties as may be assigned

MINIMUM QUALIFICATIONS:

Qualified candidates will have a High School Diploma or GED. Familiarity with Google Mail Google Drive and Google Docs and Sheets is preferred. Must have prior experience completing data entry and word-processing. Must demonstrate computer proficiency and office skills. Must attend training on and demonstrate proficiency in word-processing databases or other software used in building or district.

  • Good attendance record is a must
  • Post-secondary education is not required but desirable
  • Experience working in an office environment for 1-3 years is preferred
  • Experience with accounting is preferred

LOCATION: Administration Center Board Office

Knowledge skills and abilities required to carry out the job satisfactorily.

  • Must possess excellent communication skill both oral and written
  • Must be capable of learning and maintaining assets in the Fixed Asset Accounting database with guidance of Supervisor
  • Must understand the procedure requirements for accounts payable and accounts receivable of the Districts financial software
  • Ability to meet and greet students parents staff and visitors with courtesy and professionalism
  • Answer phones in a professional manner and route calls to appropriate buildings or person
  • Efficient and effective in listening and understanding requests from callers and visitors.
  • Must be capable of organizing and coordinating many activities
  • Must be proficient in operating a computer scanner fax copier and phone system
  • Position requires that a person be capable of organizing their work setting priorities
  • Position requires that a person be capable of referring employees on to supervisors when other than routine clerical decisions are required

The employee will bend or twist at the neck and trunk more than the average person while performing the duties of this job. The employee must be capable of lifting and/or moving up to 50 pounds 0 to 12 feet and occasionally up to 20 feet such as curriculum materials desks chairs and boxes. The employee will sometimes push/pull items such as tables and carts. Specific vision abilities required by this job include close vision color vision and the ability to adjust focus while working with computers written materials reports data etc.

The noise level in the work environment is usually quiet.
