Job Description:

Position Summary:

The Firms Talent Team enables and empowers our people to do their best work and drive Firm growth. We design and deliver the Firms people experience advise Firm leadership on organizational and individual people matters and shape Firm culture through our programs and initiatives.

Within the Talent Team our Mental Health & Well-Being (MHWB) and Justice Diversity Equity & Inclusion (JDEI) Departments design and deliver best in class programs initiatives and targeted support for attorneys and business professionals. The MHWB and JDEI Departments are key drivers of the Firms commitment to having an exceptional culture and being the leading career accelerant in the industry.

The Firm is looking for an Assistant to provide administrative support to the MHWB and JDEI Departments including their programs initiatives and general team support. The Well-Being & Inclusion Assistant works under direct supervision and relies on instructions processes and guidelines to perform the essential functions of the job.

As the Well-Being & Inclusion Assistant you will:


Program & Event Coordination

- Coordinate logistics for virtual and in-person programs for attorneys and business professionals including scheduling invitations materials and evaluations
- Support MHWB and JDEI event planning in multiple systems (program setup targeted invitations course materials attendance tracking and follow-up communication)
- Manage Zoom webinars and meetings coordinate AV needs
- Reserve conference rooms and oversee catering supplies and day-of program logistics
- Track statistics and metrics for both Departments
- Assist with uploading and updating internal web pages with videos documents etc.
- Take ownership of electronic file management and organization


Mental Health First Aid (MHFA) Training Support

- Assist with scheduling sessions and preparing training materials.
- Manage certification and recertification rosters track attendance and post-session surveys

Global Mental Health Champions Network Support

- Maintain the roster of global well-being and inclusion champions
- Coordinate quarterly meetings prepare materials and track follow-up actions
- Support champion communications newsletters and resource-sharing
- Assist with maintaining toolkits shared documents and collaboration spaces

Employee Resource Group (ERG) Support

- Assist with administrative support for the Firms Employee Resource Groups (ERGs)
- Update and maintain ERG membership lists including tracking new enrollments and changes
- Maintain ERG leadership lists and role assignments and help keep information current
- Organize and maintain ERG shared materials including charters templates and meeting resources

Client Requests Diversity Data & Industry Reporting

- Assist the JDEI team with compiling demographic data representation metrics and narrative responses for client RFPs surveys and pitch materials
- Coordinate with internal partners to gather required data and ensure accuracy version control and timely submission
- Support preparation of industry benchmarking reports external diversity surveys and certification submissions (e.g. Mansfield DEI indices)
- Maintain archives of prior responses to streamline future requests
- Track incoming client and industry requests deadlines and deliverables

Conference/Sponsorship Management and External Engagement Support

- Maintain trackers for conferences and sponsorships including deadlines registrations and deliverables
- Assist with conference logistics such as registration scheduling and organizing materials as needed
- Help organize sponsorship documentation and post-event materials and maintain organized records for future reference

Data Tracking & Evaluation

- Build surveys and compile feedback summaries for program owners and stakeholders
- Complete data entry tracking and analysis of participation metrics trends and outcomes
- Maintain organized accurate electronic files and departmental records
Departmental Operations & Communications
- Process invoices vendor payments contracting steps and expense submissions
- Maintain internal SharePoint and intranet pages by uploading videos documents and resources
- Assist in drafting and formatting internal communications newsletters program descriptions social media posts/campaigns and resource guides
- Provide general administrative support including scheduling document preparation and coordination with cross-functional partners

Planning & Collaboration

- Support annual and seasonal planning cycles including global curriculum development timelines and project tracking
- Collaborate closely with Talent Professional Development HR and other internal teams

Job Specifications:

- Bachelors degree
- Knowledge of Microsoft 365 Suite (Excel Outlook PowerPoint and Word)
- Strong oral and written communication skills
- Strong organizational and attention to detail skills
- Strong client service skills
- Ability to work well within a collaborative team environment
- Ability to work under tight deadlines and prioritize responsibilities
- Ability to handle and maintain confidential information
- Ability to learn new concepts and skills quickly
- Ability to multi-task track and manage multiple competing priorities with different deadlines and stakeholders seek out the needed information to drive clear decisions and effectively manage time

Target Hiring Range $55000 - $72000

Please note that quoted salary ranges are not guarantees of what final salary offers may be. Base pay is based on market location and may vary depending on job-related knowledge skills experience and geographic location. Base pay is only one part of the Total Rewards that MWS provides to compensate and recognize our staff professionals for their work. Full time positions are eligible for a discretionary bonus and a comprehensive benefits package.
